Job Summary:
The purpose of this position is to provide advanced-level administrative support to Senior Management (Directors/Vice Presidents) of AGL Resources and subsidiaries to support business operations. Their responsibilities also include ensuring compliance with applicable federal, state and local laws, regulations and ordinances; maintaining regulatory relationships; meeting key performance indicators and internal and regulatory service levels. Their responsibility includes planning, coordinating, scheduling, purchasing and documentation. The incumbent must be able to maintain confidentiality as required within the support role.
The hours for this position are from 8:00 a.m. until 5:00 p.m. Assist with miscellaneous projects as requested; support other departmental personnel to maximize overall team objectives; assist with customer service team support; commitment to community stewardship; available to work afterhours to support storm restoration and gas emergency efforts.
Job Responsibilities:
Functional Expertise:
Provides administrative support to Senior Management (Directors/Vice Presidents) and direct reports; prepares, reviews, and updates correspondence including letters, memorandums, reports, and presentations; answers and screens in-coming phone calls; reviews and screens email; updates organizational charts.
Schedules and maintains calendar; schedules internal and external meetings; coordinates rescheduling to meet business demands and time constraints; ensures Manager fulfills business and personal meeting obligations.
Plans and coordinates logistics for meetings and special events (e.g., conference rooms, refreshments, audio-visual equipment, participant invitations).
Coordinates travel arrangements (e.g., air, hotel, ground transportation, restaurants).
Coordinates office administrative functions including budget tracking and variance analysis; maintains office supplies; process invoices for payment and data entry to support timekeeping functions.
Coordinates special projects or assignments unique to business unit.
Develops standard and ad-hoc reports; analyzes and summarizes data for management use.
Coordinates purchasing card activities; reviews and reconciles purchasing card expenses; enters into PeopleSoft Financials for payment processing.
Serves as liaison for addressing customer service inquiries; researches, resolves, and responds to inquiries with minimal guidance.
Serves as administrative resource for internal employees; provides information and interpretation of Company policy and procedures; assists in the understanding of and compliance with Company guidelines.
Processes confidential information; maintains confidentiality.
Interfaces with vendors and assists with contract management.
Interfaces with all levels in the organization and assists with oversight of Facilities.
Maintains a professional demeanor and strong work ethic.
