Title: HR SPEC (WORKPLACE CULTURE & ASSOCIATE EXPERIENCE XP) Location: United States-Virginia-Virginia Beach Job Number: 240002J5 Job Summary: Conducts research to determine measurable metrics to influence the development of a positive and effective organizational culture of shared values regarding the organization s mission goals structure and overall strategy and objectives. Develops and implement approved initiatives and plans to increase associate awareness of workplace culture and inclusion. Works with Director Culture Associate Experience Engagement and stakeholders to devise plans and initiatives that support and promote organizational culture across the Enterprise. Duties and Responsibilities: ORGANIZATIONAL CULTURE Drives culture and engagement initiatives to ensure the Enterprise actively embodies values and behaviors including accountability ethics and best-in-class customer service for internal and external customers. Conducts data analysis to determine and identify risks areas and priority initiatives as well as the effectiveness of policies to promote and improve inclusion utilizes creditable methods to demonstrate value of various programs initiatives implemented by the sub-department. Develops inclusive language in recruitment and marketing materials designed to attract the most highly qualified talent. Identifies and compiles data to develop metrics to measure the effectiveness and success of cultural aware initiatives. Collaborates and interfaces with NEXCOM Enterprise Headquarters and NEX field representatives to maintain and ensure Enterprise-wide execution of the monthly observances and other initiatives and activities that promote inclusion and support workplace culture. Develop and design toolkits to assist with achieving planned initiatives at HQ and field activities. Composes formal and informal communication and correspondences to build a rapport with external agencies including but not limited to colleges universities trade and vocational schools community outreach services agencies employment commissions etc. in an effort to identify and cultivate additional prospects to achieve predefined goals. Coordinate efforts and assist with researching collecting and analyzing trends workforce data and program initiatives to improve workplace culture. Collaborate with stakeholder to develop culture surveys to gauge the effectiveness or misalignment between the Enterprise s values and associates perception of the Enterprise s values and how leadership embodies them. Collaborates with Associate Satisfaction Index Survey subject matter expert to develop pulse surveys to gauge the impact of initiatives implemented to foster and promote workplace culture. Analyzes data gathered and monitor employment practices i.e. recruitment selection promotions terminations complaints discipline awards recognition contract awards etc. determines areas of potential policy process improvement needs document findings and makes recommendations and or resolutions for implementation. Compiles organizes and analyzes data obtained from Exit Interviews Workforce Demographics reports and ASI results to identify systemic issues that threaten the effectiveness of workplace culture. Develops and presents recommended solutions regarding issues disclosed in Exit Interviews and ASI survey results. Manages the implementation and provides guidance on Employee Resource Groups throughout the Enterprise. Coordinates manages and facilitates meetings i.e. Mentor Prot g Program Affinity Groups Employee Resource Groups ERG s etc. Evaluates feedback and drafts summary reports of Monthly Observances Focus Groups and Town Hall Meetings. Develops correspondences and announcements that inform and educate associates about current sub-department s initiatives programs and opportunities. Produces a newsletter on a quarterly basis that culminates the events special programs and functions conducted by the sub-department. COLLABORATION TRAINING AND DEVELOPMENT Collaborates with Human Resources Training to assess training needs and develop guides and course materials i.e. handouts visual aids questionnaires etc. for associate for use during onboarding to educate and promote workplace culture. Develops reports and other presentations to be presented to NEXCOM Headquarters Front Office staff. Utilizes background information spreadsheet functionality graphics and Microsoft software i.e. PowerPoint Excel etc. for conducting analysis and assists in preparing training materials as required. Collaborates with NEXCOM Marketing group to create content flyers posters event materials and correspondences to increase organizational culture and awareness. May leverage the use of social media platforms to increase the awareness among NEXCOM internal and external customers. Develops and designs curriculum and in such reviews pertinent information included but not limited to post session surveys pulse surveys etc. - Creates training manuals storyboards scripts and PowerPoint presentations. ADMINISTRATIVE Meets with managers and supervisors to discuss any issues regarding organizational culture issues surfaced works to identify the root cause and provide equitable solutions. Manages and implements monthly DoN official observances may include additional recognition of other observances as applicable and approved by NEXCOM CEO. May designs certificates specifically for different awards relative to the sub department s area of responsibility as needed e.g. Mentor Prot g etc. Reviews all applications and materials submitted for Mentor Prot g assignments determines eligibility and makes final decisions. Provides interview panel with documents for consideration keeps applicants informed of application status and schedules follow-up meetings as necessary. Develops strategic recommendations for DEI initiatives and ensures they entail all details needed to effectively complete and execute plan s . Creates training manuals storyboards scripts and PowerPoints as required for area of responsibility. Designs administers and evaluates survey results for improving the cultural climate. Prepares and presents summaries and analyses of survey data including tables and graphs depicting results. Supports plans and coordinates operations for single or multiple surveys. Meets with managers and supervisors to discuss any issues regarding organizational culture issues surfaced works to identify the root cause and provide equitable solutions. OTHER DUTIES Develops and generates various PeopleSoft queries and reports as needed relative to area of responsibility in support of the Workforce Culture programs and initiatives. Coordinates activities and events and develops communication campaigns initiatives and correspondences as applicable as directed by immediate supervisor to include but not limited to ASI NEXCOM Bright IDEA Program etc.. Performs in the capacity of SharePoint and Microsoft Teams administrator and page master for the sub-department s website on the NEXCOM Hub. Maintains the sub-department s website ensuring content is accurate and current. Performs other related duties as assigned. Qualifications: Requires a total of 4 years of experience as indicated below: GENERAL EXPERIENCE: 3 years' experience working in Human Resources or Diversity & Inclusion or Culture & Associate Engagement performing work that enabled the applicant to effectively solve problems and build relationships, develop, analyze and synthesize data, organize and manage multifaceted tasks, utilize sound judgment when making decisions, critically think when faced with complex issues, utilize creative thought processes, and communicate effectively with others, both orally and in writing. OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: 1 year of education above the high school level may be substituted for 9 months of experience, up to a maximum of a 4 year bachelor's degree for 3 years of general experience. AND SPECIALIZED EXPERIENCE: 1 year of progressively responsible experience that provided knowledge of the methods and procedures for providing or performing a variety of complex tasks and services in support of the workplace culture & associate experience and other HR functions or similar administrative work that involved the development, implementation, and management of reports, presentations, newsletters, brochures, white papers, etc., using computer software such as MS Word, PowerPoint, Excel, Access, Visio, Publisher, etc.; general administrative work involving e-mail communications, HRIS data collection/reports, internet website administration/maintenance, event planning and coordination, etc.
