GENERAL SUMMARY:
Fleet Operations Specialist is responsible for the Private Fleet tractor onboarding and compliance process, Operational and Capital expense and invoice management, Fresh damage claims process, KPI reporting to network and other fleet operational functions. More specifically, these include ensuring up to date tractor registration compliance for current and new tractors, external vendor invoice processing for all private fleet expenses, identification and communication to 3pls regarding damage and assisting in weekly KPI reporting for network.
DUTIES and ESSENTIAL JOB FUNCTIONS:
Expense and Capital Invoice Management
Issue / receive, verify, assign, and process invoices in procure to pay system for Private Fleet business segment (Capital and operational expenses).
Will need to obtain in depth knowledge of Private Fleet Cost structures, organizational personnel, and approval hierarchy.

Freight Claim management & collections from 3pl vendors
Identify, communicate, track and execute freight claims
Follow up with pertinent parties for resolutions / claims payments

Truck and Trailer Registration & Compliance
Receive, verify, and process new truck registrations from OEM Providers and via TN Department of Revenue office.
Input updates for new trucks into key databases for database integrity purposes
Communicate and coordinate document arrivals with site leaders
Ensure DG vehicles are set up for yearly renewals that meet all compliance requirements.

Proficient communication (written and verbal), listening, and interpersonal problem-solving skills
Knowledge of dedicated fleet operations, and truck registration compliance.
High attention to detail, strong planning, and organization skills
Proficient in usage of MS Excel, Power BI, payment / freight pay systems, invoice management system
Must know MS Office software
WORK EXPERIENCE and/or EDUCATION:
Bachelor's degree in Business or Logistics preferred, or comparable experience of one to two years in transportation operations for a retailer, manufacturing company, major carrier, or logistics company required.
One to two years in analytics and reporting experience / environment
One to two years experience with expense and invoice management, freight claims, or tractor registration and compliance background.
