The principle function of this position is to provide advanced administrative support to one or more Senior Officers (Executive Team), while exercising discretion concerning sensitive or confidential matters. Duties include receipt and distribution of departmental communications and correspondence, travel arrangement scheduling, preparation of meeting materials and departmental organization.
- Receives, maintains and distributes all correspondence received. Drafts, types and distributes all correspondence generated. Receives and fields phone calls, e-mail & meeting requests, responding on behalf of Officer within established guidelines, or referring to another party as appropriate. Prioritizes e-mail and correspondence requiring immediate attention. Provides backup assistance to other Senior Officers during staff absences.
- Schedules and coordinates meetings, appointments, conference calls and travel arrangements, to include use of corporate jet. Anticipates scheduling conflicts and offers solutions in a timely manner. Prepares and submits expense reports.
- Creates visual presentations utilizing PowerPoint or other software. Develops and maintains various Excel spreadsheets. Prepares and distributes meeting materials. Attends meetings and summarizes key points of discussion. Completes miscellaneous projects as necessary.
- Develops and maintains organization and filing systems. Maintains and orders all office supplies within departmental budget.
- High school diploma and 5 years executive level secretarial experience; or equivalent combination of education and experience. College degree preferred.
- Strong oral and written communication skills.
- Excellent grammar and punctuation skills.
- Must be a good listener and a team player.
- Ability to remain calm and professional when encountering conflict.
- Proficient computer skills, to include Word, Excel and PowerPoint software.
- Excellent organizational and prioritizing skills.
- Detail and multi-task oriented.
