Vaughn & Melton is seeking an Administrative Assistant/Receptionist for their Knoxville, TN Office. The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications. Under moderate supervision, the successful candidate will be responsible for administrative duties as directed by the local Executive Management staff. The incumbent will also greet and receive visitors (in person, virtually, and over the phone) in a professional and courteous manner. Sponsorship is not available for this position.

Essential Functions and Responsibilities

  • File and index documents into an electronic document management system

  • Maintaining and managing office supplies

  • Assisting with the scheduling of training, conferences and travel arrangements for applicable staff

  • Submit supply requests to Corporate Admin for ordering

  • Data entry

  • Ability to perform work accurately and thoroughly

  • Must maintain a high level of technical aptitude with an ability to comprehend complex technical topics and specialized information

Nonessential Functions and Responsibilities

  • Perform other related duties as assigned

Required Skills

  • Proficiency using Word, Excel, PowerPoint and other MS Office software

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

  • Strong written and verbal communication skills required

  • Basic practical math skills required

Required Experience

  • High school diploma or equivalent

  • 3-5 years of related experience

  • Associates Degree preferred

Working Conditions

Work is performed within a general office environment. Work is generally sedentary in nature, but may require occasional standing and walking. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. within the office environment.
