Primary Function/General Purpose of Position

Working under the direction of the Communications Center Manager and Communications Center Supervisors, the Transport Medicine System Status Controller is responsible for receiving requests for ground and air ambulance services via telephone and radio, determining appropriate response, entering information in the Computer-Aided Dispatch System, selecting and dispatching the appropriate unit(s) to the call and ensure related billing documentation is completed accurately.

Essential Job Functions

  • Receives all incoming telephone inquiries and requests for assistance regarding patient transport in a timely, professional, and courteous manner

  • Maintains professional radio and phone communication utilizing excellent customer service skills when interacting with administration, transport teams, requesting agencies, hospital staff, physicians, and public safety personnel

  • Triages all requests for transport and accurately enters all required information into the Computer-Aided Dispatch System

  • Maintains all required records and other documentation associated with patient transport and the operation of the Communication Center

  • Ensures all billing paperwork is completed accurately

  • Maintains updated knowledge of all communications equipment to operate and request service calls when appropriate and ensure intelligent reporting of equipment failures

  • Activates transport teams and accurately relays information concerning the location and condition of the patient, when possible. Initiates appropriate protocols regarding notification and determination of patient destination

  • Maintains knowledge of the Mercy Health Transport Medicine Emergency Response Plan. Participates in quality management, emergency-procedure testing, and annual Emergency Response Plan drills

  • Demonstrates a working knowledge of all policies, procedures and protocols for operation of Mercy Health - Transport Medicine program and regulated transport activities. Has a functional understanding of state and local EMS regulations, local EMS structure, and protocol and procedures in service area

  • Demonstrates critical thinking abilities when triaging patient transports and making decisions. Makes decisions in an independent and high stress environment

  • Maintains constant radio contact with transport teams and documents contact with teams consistent with the current policy and procedure for flight and ground tracking. Remains at dispatch station at all times when any helicopter is airborne

Summary of Primary Function/General Purpose of Position

The ultrasound technologist performs ultrasound procedures and related techniques, producing images for the interpretation by, and at the request of, a licensed independent practitioner. May be required to learn to scan vascular exams i.e., venous duplex scans. Will perform direct patient care in a compassionate and timely manner. Under the direction of Radiology leadership, the Ultrasound tech performs duties directly involved with a variety of technical procedures in the use of ultrasound for the diagnosis of disease or pathology.

  • Demonstrates knowledge of direct patient care by evaluating the patient, verifying patient ID, and related information to assure appropriate procedure is performed

  • Explains procedure to patient; prepares patient for procedure by obtaining and recording patient history and consent form (if applicable)

  • Ensures patient comfort, privacy, and safety during procedure; monitors condition of patient and medical equipment that may be disturbed due to the nature of exam and report changes to patient care services

  • Documents sonographer's impressions and relays findings to physician

  • Obtains and records images necessary to demonstrate normal and pathological findings; documents all pertinent information, e.g., lab values, patient histories; demonstrates and maintains clinical competency particularly related to patients who are: newborn, pediatric, adolescent, adult and geriatric as deemed necessary by designated facility

  • Participates in performance improvement projects

  • Assists department in achieving successful results in all federal and state and local agency audits.

  • Participates in the education/instruction of students and the orientation of new staff. -high level disinfection probes per joint commission standards.

  • Must use various ultrasound modalities dependent on the type of anatomy being examined.

  • Must become proficient in recognizing cross-sectional anatomy and understanding of related technology.

Essential Duties and Responsibilities

  1. Verify eligibility, obtain benefit quotes, authorizations for services, negotiates reimbursement as appropriate, notify patients of coverage criteria and verify qualifications are met for reimbursement by individual payor guidelines.

  2. Prepares daily cash deposits for posting, updates cash log, verify payment accuracy, post payments, and determine appropriate contractual adjustments, deductibles and co-pays. Researches and processes refunds, returns and bad checks.

  3. Confirm revenue generated accurately. Audit charges/claims for qualifications by the appropriate payor's guidelines. Submit claims electronically or by paper according to payor's specifications and filing limits.

Update all HCPC codes, modifiers, ICD10 codes according to payor's requirements.

  1. Review and process unpaid claims for assigned accounts. Work and track denials and all correspondence from assigned payors. Prepare formal appeals according to payor's specifications. Monitor appropriate reimbursement based upon contractual agreements and fee schedules. Obtain necessary documents from patient's medical records. Identify and adjust ineligible revenues, contracuals and uncollectibles/bad debts. Responsible for the timeliness of payments and minimizing the risk of uncollectibles/bad debts based upon industry standards.

  2. Calls and/or mails correspondence, statements and invoices to customers as necessary in order to update accounts. Maintain patient account notes with all correspondence, calls or any activity on the account. Receive calls and explain coverage criteria and the calculations of the charges.

  3. Performs month end close functions including financial, tracking and productivity reporting.

  4. Complies with guidelines specific to accounts receivable policy and procedures, regulatory bodies, payor sources, individual company's policy and procedures and other appropriate sources. Maintain knowledge on payor requirements and guidelines.

  5. Maintains knowledge of products and services available through the department and other associated organizations.

  6. Protects confidentiality of information. Follow guidelines for the release of medical information.

Education: High School

Computer skills, verbal communication skills and written communication skills. Preferred previous experience in medical, billing or related fields, medical terminology, ICD10 codes and HCPC codes.
