Leader primarily responsible for the business office operations of the community.
Responsible for attracting, engaging, developing and retaining the community associates necessary to provide high quality care and personalized services to our residents, while minimizing the use of premium labor (in conjunction with HR department in a CCRC).
Supports Executive Director in driving profitable growth and complying with operational processes and regulatory requirements.
Ensures effective communication with associates, residents, families, vendors and other visitors to the community.
Ensures that residents are properly billed for services provided and leads the timely collection of receivables.
Responsible for overseeing payroll process to ensure that associates are paid correctly.
Ensures that vendor invoices for goods or services to the community are billed appropriately and are processed for payment on a timely basis. Supports an inclusive community culture.
Associates degree (A. A.) or equivalent from two-year college or technical school required; or additional years of experience can be substituted for the education requirement on a year-for-year basis. Minimum of three years related experience and/or training. Previous managerial and office setting experience preferred.
May also directly supervise another department.

Responsibilities
Leads the day-to-day operations of a larger community of 60-65 units and two product lines or 65-175 units with up to two product lines. Is responsible for the community's associate relations, resident and resident family engagement and connection, financial performance, and regulatory compliance. Creates and executes the business plan and develops the team to become a preferred senior living community in the market, while growing revenue and profitability in partnership with the district team. Works with sales to drive sales results. Creates an inclusive community culture that provides high quality resident experiences and care and engages residents, families, and associates.
Responsible for all operations within the community, interacting with staff and residents, prospects, or their family members or representatives, as necessary.
Develops and implements business plan to become a preferred senior living community in the local market and creates, analyzes, and executes annual operating and capital budgets; manages community performance against goals; sets plans to improve or maintain performance to Company service and financial standards.
Builds and maintains strong working relationships with management team and encourages teamwork and collaboration; cultivates an inclusive community culture. Empowers department leaders to supervise, direct, and motivate staff and to proactively recognize and solve issues. Holds department leaders accountable for department performance. Provides assistance to leaders and staff as needed. Ensures community maintains appropriate staffing levels to meet the needs of residents and in accordance with applicable legal requirements.
Supports department leaders to attract, develop, engage, and retain associates in accordance with Company policies. Responsible for recruiting and hiring high quality and engaged associates and ensuring they are appropriately trained and developed to meet the needs of residents. Reviews promotions, development plans, disciplinary actions, and termination decisions ensuring consistency in the selection and retention of quality associates. Analyzes trends and implements strategies to reduce turnover and increase retention.
Builds high degree of resident satisfaction and retention. Is responsible for maintaining positive resident relations and is accessible and approachable to residents and their families. Is proactive in solving resident problems and resolving issues. Leads effort to leverage satisfied residents and families to grow community occupancy; executes renewal program with existing residents. Partners with Resident Council as necessary. Administers resident satisfaction and other surveys and works with department leaders and district team to create plan to address opportunities for improvement in resident satisfaction, experience, and engagement.
For assisted living or memory care communities, ensures collaborative relationship with community clinical leader to ensure community's care and services are appropriate to meet the needs of residents. Oversees resident services including the admission process, healthcare management, and maintenance of resident documentation to ensure high quality services and compliance with Company policy and applicable legal requirements. Empowers department leaders to demonstrate the same for their area. Ensures service plan reviews are conducted, consistent with applicable legal requirements, with appropriate clinical care team members and resident families to maintain the personal dignity of residents.
Demonstrates a high degree of financial acumen as it relates to community operations. Analyzes, develops, and executes annual operating and capital budgets; works to meet or exceed budgeted revenue, profitability, and occupancy goals. Proactively creates plans to overcome unanticipated expenses or revenue shortfalls. Continually explores means of revenue enhancement and expense reduction, while meeting the needs of residents and adhering to Company policies and applicable regulations.
Drives sales and marketing efforts in collaboration with the community sales leader to meet or exceed occupancy or revenue targets by developing new business, generating leads, and building strategic relationships. Engages with prospects who tour the community. Identifies trends and works with sales leader to implement approved sales and marketing activities and strategies to maximize revenue (RevPAR).
Identifies and builds positive relationships with local influencers and professionals to raise community profile. Becomes active in social and civic affairs of the local community that align with the Company's mission. Represents the community and the Company to governmental agencies (as appropriate), professional organizations, community groups, and other appropriate public agencies and groups.
Ensures buildings, grounds, and property are up to Company standards through the oversight of preventative maintenance systems and programs and frequent inspections that meet Company standards of excellence.
Enforces current Company policies and procedures. Maintains applicable licenses in accordance with Company, Federal, State, and local requirements.

Qualifications

Requirements to be a Maintenance Technician

Responsibilities
Provides marketing support services to the sales staff to ensure the timely administration of sales and marketing efforts.
Provides marketing support to the community in accordance with marketing and business plans. Utilizes sales processes, systems, and forms for sales to perform job duties, track information, compile data and reports, and meet or exceed community revenue goals. Provides administrative support for the Sales Department. Attends daily sales meetings.
Communicates daily with community sales leader and other key associates regarding the status of all prospective move-ins. Utilizes the sales systems to record pre-residency steps and to facilitate communication.
Serves as liaison between new resident and community by coordinating the move-in process for new residents in an efficient and welcoming manner, as needed. Ensures paperwork completion, including PPOC (Physician Plan of Care), residence preparation, mover scheduling, community support. Sets up pendants, keys, mailboxes, cable, and coordinates storage for new residents.
Coordinates with maintenance and operations on unit turn over (UTOs) and maintains unit availability listings for the sales team. Works with community sales leader to identify units to be made ready for sales pipeline.
Assists community sales leader in scheduling and executing on events including lead generation and lead advancement events and maintaining and organizing RSVP lists for events.
Ensures sales office is stocked with marketing information and move-in packets. May request and order marketing materials through company systems.
Represents the community and increases awareness through participation in outside events, professional groups, and community involvement as directed by the community sales leader. Uses relevant community knowledge and research to assist in planning, coordinating, and implementing monthly prospect and/or referral source activities and events as specified by the community marketing plan and community sales leader.
May answer phone calls, serve as a backup for Sales, and log leads in SMS according to UP system.
Maintains office -hot board- and prepares data for weekly and monthly reports. Provides sales performance information to community sales leader.
Maintains working knowledge of the lead management system and uses to develop reports. Inputs sales and marketing activities, as directed, in a timely manner and according to systems standards. Ensures accurate information is input into systems (e.g., Artiva, SMS, etc.).

Generates high-volume recurring streams of new move-in revenue for assigned Brookdale communities with open Sales and Marketing Director positions. Job Summary
In alignment with Brookdale's Resident and Family Engagement philosophy, plans, coordinates and facilitates a calendar of person centered dementia friendly programs that meet specific needs of each and all residents within the dementia care community. Promotes and engages residents in the 7 domains of well-being programs in a dementia friendly structured environment; including sensory focused small group programming for residents who cannot participate in a larger group setting.
Develops a monthly calendar, in partnership with residents, based on residents' shared interests. Ensures person centered special events and daily path programs are scheduled and executed as scheduled.
Ensures dementia care programs are in compliance with Brookdale Excellence Standards Tool (BEST), Divisional Dementia Care Site visit tool, state, federal, and other regulations and meet Brookdale's mission, policies, procedures and dementia care standards as assigned by the Executive Director.
Collaborates with community leadership educating & providing resources to families and associates regarding Alzheimer's disease and other dementias. This includes how to engage residents and lead programs on an ongoing basis. This includes facilitating and coordinating dementia focused in-services and or events for families or computer based and situation specific training for associates including Understanding Alzheimer's & Dementia Care (UADC), as required by Brookdale.

Qualifications
Requirements to be a Maintenance Technician
Maintenance Technicians will maintain scheduled and unscheduled maintenance on, but not limited to: HVAC, elevator, fire and sprinkler equipment, generators, landscape, kitchen equipment and emergency pull cord equipment. Maintenance Technicians will also perform general maintenance projects as scheduled or assigned and respond to maintenance requests by community directors and residents in both private rooms and public living areas. They will also maintain positive communication with local fire marshal, building inspector and any other jurisdictions governing the community.

Responsibilities
Manages the associates responsible for the general operating maintenance and repair of the buildings and grounds to maintain proper care of the assigned community(s) in accordance with current federal, state, and local standards/regulations and company policies.
Supervises the community maintenance, housekeeping and laundry (if applicable) staff, to include hiring, training, evaluating performance, resolving disciplinary issues and firing.
Directs workers engaged in the maintenance and upkeep of the interior and exterior of the community. Inspects completed work for conformance to standards and policies.
Oversees scheduled maintenance on: H.V.A.C., elevator, fire and sprinkler equipment, generator, landscape, kitchen equipment, and emergency pull cord equipment.
Coordinates maintenance requests by residents for items needing repair in their rooms, including repairing plumbing, electrical, heating and replacing light bulbs.
Oversees repairs and maintenance of buildings including vacated rooms in a timely manner. This includes painting walls and cleaning carpets.
Ensures walls, floor coverings, doors, and woodwork in the common areas of the community are properly maintained.
Maintains positive communication with local fire Marshall, building inspector, state elevator inspector, and any other jurisdictions governing the community.
Assesses all plumbing and electrical problems within the community and determines the best course of action to correct the problem. Works within the legal scope of local and state codes.
Reviews safety data sheets (SDS) as requested for potential exposure to hazardous chemicals used and take necessary precautions.
Assess property damage and file property damage claims in accordance with company policy.
Responds appropriately to resident or community emergencies by assisting as needed.

Qualifications

Responsibilities
Under administrative direction, manages the community's budget and financial operations.
Manages the forecasting, analysis, and reconciliation of the annual budget process for assigned community(s). Distributes and communicates corporate templates and information requests from corporate to department heads, and meets to obtain and discuss budget proposals for the coming year. Applies financial models, evaluates forecasted numbers, and obtains explanations and justifications from department heads relating to significant increases and decreases from previous periods. Partners with department heads to scrutinize planning based upon prior activity, occupancy levels, financial models, etc. Conducts cost/benefit analysis for proposed spending.
Incorporates corporate NOI expectations into budget planning. Identifies and discusses potential enhancements and obstacles in meeting expected numbers.
Meets with Executive Director (ED) to discuss and resolve budget issues concerning departments' forecasting and planned spending. Presents issues and organizes meetings with ED and department heads to formulate analysis and confirm facts.
Critically reviews capital expense requests (CER). Discusses justifications and priorities with department heads and Executive Director. Follows corporate purchasing guidelines and tracks approved capital spending. Finalizes numbers with ED and prepares Power Point presentation for Business Plan Review with guidance from ED. Provides justifications and effectively communicates needs.
Communicates finalized budget numbers to department heads and educates regarding meaning.
Monitors budget expenses throughout the year. Routinely distributes reports and meets with Department heads to discuss financial performance and ensure integrity of data. Reconciles plan variances. Provides solutions and suggests corrective financial and operational action to department heads and ED. Alerts ED regarding anticipated difficulties in meeting NOI targets. Obtains ED's directives regarding budget and operational changes and incorporates into budget.
Prepares and supervises the preparation of routine and specially requested statistical and financial reports and analysis for review by ED. Identifies and presents trend lines and projections relating to income and expenses. Reconciles accounts and interprets results.
Submits monthly and quarterly food service, central supply, housekeeping inventory reports to corporate office. Routinely monitors inventories of supplies. Conducts cost/benefit analysis for current and proposed resources. Analyzes buy versus lease decisions equipment. Audits cash handling and purchasing/bid processes to ensure compliance, to assess credibility of vendors, and to conduct proper analysis of bids.
Supervises Business Office staff and operations in the processing of payroll, invoices and receipt of payments from residents. Ensures that corporate policies and procedures relating to cash, accounting, collections, purchasing, budget and payroll are followed to maintain SOX compliance.
Proactively manages DSO rates and follows collection procedures to obtain payments and reduce DSO. Reconciles resident accounts and informs ED regarding residents behind in fee payments. Reviews aging of accounts receivables and recommends bad debt write-offs.
Prepares and posts notifications to residents regarding rate increases as approved by corporate office. Routinely posts and calculates interest payments for resident's security deposits. Requests security deposit refunds for departing residents. Reviews other credits for residents and approves refunds as appropriate.
Upon request, may provide financial information relating to expansion and renovations in community. Assists with financial studies and projections as it may relate to the profitability of expanded services. May assist ED regarding coordination of construction phases with operational requirements.

Qualifications
Education and ExperienceBachelor's degree in accounting, management, business, or related field; or equivalent combination of education, training, and experience. Responsibilities
Manages the associates responsible for the general operating maintenance and repair of the buildings and grounds to maintain proper care of the assigned community(s) in accordance with current federal, state, and local standards/regulations and company policies.
Supervises the community maintenance, housekeeping and laundry (if applicable) staff, to include hiring, training, evaluating performance, resolving disciplinary issues and firing.
Directs workers engaged in the maintenance and upkeep of the interior and exterior of the community. Inspects completed work for conformance to standards and policies.
Oversees scheduled maintenance on: H.V.A.C., elevator, fire and sprinkler equipment, generator, landscape, kitchen equipment, and emergency pull cord equipment.
Coordinates maintenance requests by residents for items needing repair in their rooms, including repairing plumbing, electrical, heating and replacing light bulbs.
Oversees repairs and maintenance of buildings including vacated rooms in a timely manner. This includes painting walls and cleaning carpets.
Ensures walls, floor coverings, doors, and woodwork in the common areas of the community are properly maintained.
Maintains positive communication with local fire Marshall, building inspector, state elevator inspector, and any other jurisdictions governing the community.
Assesses all plumbing and electrical problems within the community and determines the best course of action to correct the problem. Works within the legal scope of local and state codes.
Reviews safety data sheets (SDS) as requested for potential exposure to hazardous chemicals used and take necessary precautions.
Assess property damage and file property damage claims in accordance with company policy.
Responds appropriately to resident or community emergencies by assisting as needed.

Assists the Health and Wellness Director (or designee) in medication management, ordering medication from pharmacy and maintaining records as dictated in Brookdale Senior Living policies and procedures manual. Assures that medications are properly stored, medication carts/cupboards are cleaned and medication room is organized according to standards.
If within scope of practice, may administer medication to residents; may review capabilities of residents who self-administer medications on a regular basis (refer to state regulations regarding medication assistance and documentation).
Monitors staff in administration of medication, to include frequents audits of medication administration records (MAR).
Observes residents, records significant reactions, and notifies community leadership of resident's condition and reaction to drugs, treatments, and significant incidents. Responds promptly to all emergency calls from residents.
Communicates to families regarding resident's personal needs and achievements. Reminds families of need for scheduled physician, dental, or eye appointments. Assigns vital signs to associates and monitors compliance. Assures in-house ancillary medical services such as podiatrist, doctor visits, psych visits, labs, x-ray, ambulance, etc. are scheduled and followed through.
Assists in organizing and developing service plan reviews as required, with appropriate resident care team members and resident families.
Participates in the maintenance of resident charts including review of documentation performed by resident assistants, monthly MAR reviews, setting up new resident and thinning records appropriately.
Participates in department quality improvement activities, to include completion of quality assurance surveys as assigned by community leadership.
Performs daily, weekly and monthly safety and infection control checks of the home and grounds, assisting the community leadership for resident health and safety purposes.
Participates in community functions including family socials and open houses. Communicates with community professionals.

Responsibilities
Job Summary
In alignment with Brookdale's Resident and Family Engagement philosophy, plans, coordinates and facilitates a calendar of person centered dementia friendly programs that meet specific needs of each and all residents within the dementia care community. Provides person centered programs while engaging residents in meaningful and purposeful dementia care programs within the Brookdale community enhancing their quality of life. Recognizes individual abilities and needs while encouraging independence and ensuring resident habits, historical routines, interests and preferences are honored in the provision of care and programming.
Essential Functions
Designs a 7 day a week person centered program that is engaging, creative and meets the needs and interests of the individual residents. Promotes and engages residents in the 7 domains of well-being programs in a dementia friendly structured environment; including sensory focused small group programming for residents who cannot participate in a larger group setting.
Develops a monthly calendar, in partnership with residents, based on residents' shared interests. Ensures person centered special events and daily path programs are scheduled and executed as scheduled.
Ensures dementia care programs are in compliance with Brookdale Excellence Standards Tool (BEST), Divisional Dementia Care Site visit tool, state, federal, and other regulations and meet Brookdale's mission, policies, procedures and dementia care standards as assigned by the Executive Director.
Collaborates with community leadership educating & providing resources to families and associates regarding Alzheimer's disease and other dementias. This includes how to engage residents and lead programs on an ongoing basis. This includes facilitating and coordinating dementia focused in-services and or events for families or computer based and situation specific training for associates including Understanding Alzheimer's & Dementia Care (UADC), as required by Brookdale.
May provide direct supervision of Clare Bridge Program Assistant/s, as required by Executive Director, which includes assisting with hiring, coaching, and counseling program assistant associate and conducting the documenting corrective action, as needed. Completes job performance evaluations. May act in supervisory capacity in absence of Manager or Executive Director.
Collaborates with community leadership in planning, coordinating, appropriately decorating, and participating in special events including holidays, signature programs, National Walk to End Alzheimer's, family socials, educational and marketing events.
Reports changes in residents' overall health to clinical partner, including changes in behavior; takes actions to address concerns in a timely manner and collaborates with the team in exploring approaches and interventions to address behavioral expressions.
Oversees social media content to ensure alignment with Brookdale's culture, brand, and social media guidance and Brookdale standards.
Plans and schedules programming events outside the community, which may include driving a community motor vehicle.
Maintains and adheres to department monthly budget and expense control and may manage volunteer program.
Performs personal care, housekeeping and dietary responsibilities, as needed, to ensure service quality is maintained in accordance with Clare Bridge Program standards. Has completed training and qualifications based on state regulations to ensure service quality is maintained in accordance with Clare Bridge Program standards.

Qualifications
Education and ExperienceBachelor's Degree in therapeutic recreation, gerontology, education or related field preferred. Minimum two years of direct programming experience with older adults and persons with dementia preferred; or equivalent combination of education and experience.
Certifications, Licenses, and other Special RequirementsMust have a valid driver's license and a current 3-year driving abstract with no more than one moving violation as a condition of employment and may be required to obtain a commercial driver's license based on the needs of the community

Purchases all food and manages inventory ensuring effective cost controls and vendor service and quality. Ensures the highest nutrition and food quality for the health and pleasure of the residents. Complies with all federal, state and local regulations to ensure sanitary and safe operations. Plans and executes entertaining dining events and themes in conjunction with Activities Director, Marketing Director and other administrative staff to optimize the life and pleasure of the residents. May also cater events as requested by residents or staff. May be utilized to fill in for Director of Dining Service that are on PTO or leave.
Hiring and training appropriate staff, resolving food cost problems, resolving food quality issues, addressing sanitation concerns, improving efficiency of dining services operation, and resolving dining services labor issues. May be utilized to fill in for Director, Dining Services on PTO or leave.
Hires, trains and manages all supervisory staff for the kitchen, dining room, and catering and delivery services. Ensures that supervisors maintain a safe and sanitary environment and provide a caring and pleasurable dining experience for the residents. Coach's supervisors in maintaining appropriate staffing levels and effectively motivating, disciplining and training associates.
Consults with chefs and cooks to develop and maintain pleasing and nutritious menus. Assesses and determines the desires and preferences of the residents regarding food selection and presentation through surveys and daily contact with residents. Ensures preferences are incorporated into the menu and events. Understands the dietary needs of residents and coordinates with dietitians, nursing staff, and care associates to ensure proper selection, preparation and delivery of meals.
Develops department budget including purchasing and staffing expenditures. Approves food orders from company or selected food vendors and ensures a proper level of inventory to meet demand and minimize cost and waste. Routinely monitors budget compliance and recommends changes as needed to maintain operational quality and resident satisfaction.
Encourages the identification of enjoyable ways to encourage socialization and enjoyment of residents through the use of food presentation and events. Improves the dcor and condition of dining rooms to ensure a safe and pleasant experience.
Assists with the start-up of new dining services departments; reviews the menu system for accuracy, assists with the setup of kitchen and reviews small ware delivery for accuracy.
Trains dining services and other staff on dining services systems, and "Trains the Trainer".
Assists with the development and revision of dining services forms, policies, procedures and training tools.
Supports roll out and utilization of national, regional and local vendor programs for food service departments and measures compliance along with effectiveness of quality results.
Participates in ongoing product reviews, testing and vendor and manufacturer evaluation in conjunction with the purchasing director and national purchasing department.
Provides information and input to the Corporate Office regarding national food service programs.
