Job Description

This is an Evening Shift (1:30 pm - 10:00 pm Eastern Time) M-F with some overtime on weekends as needed.

As part of the workforce management team, you'll leverage data to help optimize staffing to maximize service levels across the contact centers. You will collaborate with leadership and operations to ensure we have adequate staffing and plans in place to identify service gaps and provide solutions. You will be responsible to develop and maintain short and long-term forecast for all contact types. You will utilize your experience to implement best practices in workforce management to ensure consistent procedures and data-driven decisions. Finally, you will communicate your analytical results to leadership and business partners and provide insights and suggestions that will make a difference. This role will report to the Manager of Workforce Management.

Job Duties and Responsibilities :

- Provide reporting focused on forecasts, capacity planning, shrinkage review, and service level results

- Analyze intraday and historical performance of call volume, average handle time, calls per hour, and agent productivity and respond/plan appropriately to achieve operational service goals

- Analyze schedules and performance productivity reports to recommend training, time off, and overtime

- Communicate necessary adjustments to staffing based on changes in forecasts

- Track and recommend ways to optimize staff efficiency

- Manage the back-end administration for the WFM system and identify any gaps or new functionality

- Create documentation and training guides for the WFM system as it pertains to policies and procedures

- Collaborate with internal customers to identify opportunities to improve resource utilization and to achieve service goals

- Assist Leadership and WFM staff in a range of assignments and projects including ad hoc requests

- Identify contact volume and average handle time trends on an intraday, weekly, monthly, basis Establish and maintain communication channels regarding events that impact contact center performance and workload

Ideal Qualifications :

- Bachelor's Degree

- 5+ years WFM experience analyzing, interpreting, and summarizing complex contact center data

- Proficient with reporting tools such as Tableau, CMS and WFM software such as NICE CXone, Genesys, Verint or Pipkins- to create complex report, manage forecasts, and analyze data

- Knowledge in call flow technologies and strategies

- Demonstrate reliability and strong customer service skills along with attention to detail

- Excellent skills in written and oral communication, organization, prioritization, decision-making, problem analysis and resolution.

- Able to work well in a fast-paced environment while being a team play and requiring minimal direction

Responsibilities

The person selected for this role will play a significant part in ensuring that Aspen Dental continues to provide access to care in facilities that demonstrate best-in-class safety, cleanliness, and functionality. This position will be responsible for the following:

• Manage the day to day facility management of dental equipment and maintenance issues at multiple locations over a large geographic territory in a team oriented atmosphere from our main office.

• Tact and Directness in dealing with the facilities vendors is critical to ensure that required actions are completed.

• Manage expectations and performance within service level parameters. Verify completion of work and services.

• Effectively communicate with internal customers and contract vendors.

• Data analysis and storage of work order history and budget tracking using on-line programming.

• Subcontractor appropriation. Ability to search for vendors and sign them up.

• Shipping items and tracking for the Facilities Department

• Billing management for Facilities tickets. This includes contacting vendors to get the correct information in to get billing done, and coordination with ADMI billing to coordinate correct GL codes and location codes for items.

• Run small projects from start to finish and be able to give guidance to techs in the field of our scope of work in detail.

Minimum Education and Experience

The candidate selected for this challenging opportunity will likely possess exceptional customer service skills and act with a 'sense of urgency.' This requires skill and experience in both verbal and written communications that meets the needs of different customers and vendors. It would be very helpful to have prior exposure to multi-unit facilities management concepts and best practices. You can expect to work in a fast paced environment so being able to demonstrate successful completion of multiple tasks concurrently is appreciated. Critical to this role will be the experience and ability to negotiate with vendors, think analytically and critically, and to be a 'real-time' problem solver. This role will likely involve occasional travel and a flexible schedule. How You'll Make a Difference

• Provide superior patient service with compassion and care in accordance with patient needs, company policies and procedures, government regulations, and dental board standards

• Work collaboratively with other members of the dental team to provide exceptional patient care

• Consult with patients on treatment options provided by the clinical team, verify insurance payment and collection ensure high-quality of care

• Under the direction of the Manager, supervise and reinforce the daily tasks and priorities of the non-clinical team

• Review data day to day to evaluate the impact on the practice

• Oversee scheduling and confirming patient appointments

• Verify insurance payment, collection, balance nightly deposits, and credit card processing

• Additional tasks assigned by the Manager

Preferred Qualifications

• High school diploma or equivalent; college degree preferred
