Badger Daylighting is seeking an Onboarding & Compliance Coordinator to help transform and develop a best-in-class hiring process in support of Badger's top priorities: Recruit, Train and Retain. This position will play a vital role in a high-profile program supporting Badger Daylighting in successfully hiring top talent and to deliver talent solutions for our Operations and Corporate Offices. Reporting to the Director, Talent Management & Acquisition you will work as an integral part of the cross-border Talent Acquisition team and work closely with our Hiring Leaders and Candidates during the pre-hire and onboarding phases of the hiring process.
We're seeking someone who is a collaborator and skilled in providing support to leaders in both a union and non-union environment. The ability to interact with staff at all levels (from front-line field talent to executives) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
Coordinate and ensure the onboarding processes are completed accurately and efficiently including the collection and tracking of required documentation.
Be the primary go-to person in the pre-employment process for the Talent Acquisition Team, Hiring Managers and for Candidates.
Accountable to provide leaders with pre-employment and onboarding support within the defined process to ensure an exceptional new hire experience.
Support leader training for the hiring and onboarding process.
Devise communication and reporting mechanisms for hiring leaders and the executive team.
Audit the effectiveness of our on-boarding program, identify areas of opportunity and make recommendations for improvement.
Play an integral role in the integration of Oracle Applicant tracking and on-boarding modules along with vendor applications and developing subsequence processes and their roll-out.
Provides exceptional front-line support to the business and for staff; responds to routine inquiries and provides information and assistance on a variety of hiring queries.
Build role-specific boarding materials with the Talent Acquisition and HR team.
Enters and Maintains integrity of data in the recruitment database.
Collaborates with the team to ensure data and candidate status in the Applicant Tracking System (Taleo) and HCM (Oracle) system is accurate and up to date.
Creates and produces ad-hoc, weekly and monthly reports.
Formulates and responds to a variety of (email, personal, phone) queries in a prompt, courteous and effective manner.
Establishes and maintains good working relationships with hiring managers.
Maintains confidentiality of HR information including: candidate, employee, former employee, and departmental information.
Identifies opportunities for improving candidate onboarding process efficiencies.
Participates on project teams with the goal of continuous improvement.
Post-secondary education in HR, Occupational, Health & Safety or in a related field.
Minimum 3-4 years of experience in a corporate support role, preferably in HR, Talent Acquisition or EH&S.
A drive for team orientation with the ability to conduct work with the utmost confidentiality.
Knowledge of Applicant Tracking Systems and post-offer screening vendors such as DISA and HireRight is considered an asset.
Thorough knowledge of pre-employment and onboarding philosophy, policy, procedures, documentation and systems is considered an asset.
Intermediate to advanced proficiency in Outlook, Word, Excel, Visio and PowerPoint.
Exceptional organization and time management skills with a proven ability to succeed in a fluid and fast-paced environment.
Must have strong interpersonal and written and verbal communication skills.
Pro-active and solution-focused problem solver with an eye on continuous improvement.
Customer service focused with a high level of confidentiality and diplomacy.
Ability to re-invent existing processes to create efficiencies and align with business strategy.
