Location: Harbour View Medical Center (Suffolk, VA)

Harbour View Medical Center is Bon Secours' new, surgically focused hospital, set to open in early 2025. The facility will include 18 medical/surgical beds and up to four operating rooms. The 98,000-square-foot hospital will adjoin the existing Bon Secours Health Center at Harbour View campus, which includes an emergency department, outpatient imaging, outpatient lab services, an ambulatory surgery center and physician practices.

Primary Function/General Purpose of Position

Responsible for an assigned hospital facility day to day operations for the medical staff to ensure compliance with the governing documents and the state and federal requirements and applicable accreditation standards. Each facility coordinator is the subject experts for his/her facility in the areas of medical staff governing documents and policies, privileging practice, and accreditation and regulatory issues. Represents administrative issues successfully to influence collaboration between physicians and hospital management. Interacts with Quality Management; Peer Review and physicians to use relevant data to enable identification of practitioners who may not meet the standard of care for the hospital. Manage communication of the organized medical staff. Collaborate with other Medical Staff Offices and the Shared Services Centralized Credentialing Office (internal CVO) to create and implement efficient, effective policies and criteria governing credentialing and medical staff operations. Manage high risk, high profile medical staff processes, such as formal investigations and corrective actions. Promote consistency and collaboration among medical staffs in privileging systems, governing document maintenance and the use of the physician database.

Essential Job Functions

  • Serves as an essential link between senior management and the Medical Staff to promote and enhance good communication and a positive working relationship.

  • Provides facility operation in analyzing and file preparation and reports for presentation to all Medical Staff Committees, Medical Executive Committee (MEC), and Boards for initial application, reappointment applications as well as policies and procedures.

  • Maintain the confidentiality of highly sensitive information regarding the Medical Staff proceedings, disciplinary actions, and other personal professional information.

  • Interacts effectively with Quality Management Department, Health Information Management, etc. to integrate quality of care issues into the reappointment process.

  • Creates and distributes On Call Schedules.

  • Facilities and attends, as assigned, medical staff monthly/quarterly/semi-annual department meetings. Secures meeting rooms, arranges for catering and special equipment needs for above meetings.

  • Records conclusion and recommendations accurately to substantiate action taken by department or committees. Maintains and protects the confidential of proceedings which may be required in subsequent internal investigations and/or legal disputes.

  • Participates in the preparation and onsite Joint Commission, CMS, or State licensure accreditation surveys and delegation audits.

  • Maintain confidential filing system for all current and archived physician files.

  • Credentialing subject expert who provides current and accurate information on legal issues/requirements and pertinent regulatory standards using state, federal and regulatory guidelines.

  • Notifies the Medical Staff of upcoming meetings, special events, workshops, and CME classes.

  • Prepares a medical staff roster for use by all internal departments.

  • Maintain the Medical Staff website on IRIS.

  • Prepares ongoing reports and monitoring reappointment cycle to ensure compliance with Joint Commission recredentialing cycle requirements.

  • Complete the credentialing process after receipt from the internal CVO.

  • Assist with the badge process and the ConnectCare process.

  • Assist with the Residents, Students, and Fellows process, if applicable.

  • Assist the Director Medical Staff Services in the creation and development of policies and procedures and implementation of policy changes for the Medical Staff internal operation.

  • Provide list of physicians or mailing labels for other departments as needed.

  • Entity review if application does not meet minimum requirements for hospital affiliation.

  • Working with the Credentials Chair, CMO, or designee on drafting a letter for applicants that do not meet minimum credentialing criteria.

  • May be called upon to assist internal CVO in emergencies (staff shortage, FMLA, urgent start up groups, etc.)

Licensing/Certification

  • CPMSM and/or CPCS certification by the National Association Medical Staff Services (NAMSS) required, or obtained within two years of hire or eligibility as determined by NAMSS.

Education

  • Associate degree with Bachelor degree preferred. Will consider candidates with experience in medical staff services/credentialing or Certified Professional Medical Services Management (CPMSM) and/or Certified Provider Credentialing Specialists (CPCS) in lieu of degree.

Work Experience

Must have at least three years previous medical staff services/credentialing experience
