Recruiting Profile

Dal-Tile is currently seeking an exceptional Manufacturing Facility Coordinator to join our TEAM! As the Manufacturing Facility Coordinator, we need someone who is ready to provide additional administrative support to eight department managers when needed, including scheduling and organizing complex activities such as meetings, agendas, travel, conferences and departmental activities. Provides support as needed relative to systems, schedules, reports, and special projects.

Primary Objective

To be the first point of contact for all facility visitors, as well as lead the daily administrative tasks of the front office and act as a primary back up for all other administrative staff roles.

Major Function and Scope

Acts as first-point of contact for visitors. Maintains security by following procedures, keeping log book, and issuing/retrieving visitor badges.

Screens telephone calls and visitors, ascertaining who can be redirected to other staff members or other offices. Provides information to callers, requiring detailed knowledge of manager's area of responsibility and general knowledge of company policies, practices and operations.

Assists short/long-term, domestic/international visitors to the plant with travel plans, meeting agendas, language assistance, and general administrative support during their stay.

Maintains Plant Manager's calendar, scheduling meetings and appointments without clearance on occasion. Arranges travel and hotel accommodations and completes expense reports as necessary.

Reviews team expense reports for accuracy prior to Plant Manager approval.

Performs confidential administrative functions on occasion where errors could have moderate effect on costs, such as typing, proofing and assembling reports or proposals for customers or outside agencies and taking, transcribing and distributing minutes of important meetings, coordinating functions or meetings with customers.

Prepares general correspondences, memos, charts, tables and graphs as required.

Maintains departmental records and prepares special and recurring reports, following general directions.

Provides additional administrative support to eight department managers when needed, including scheduling and organizing complex activities such as meetings, agendas, travel, conferences and departmental activities. Provides support as needed relative to systems, schedules, reports, and special projects.

Works with other administrative staff in reference to filing and cataloging files pertaining to billing or receiving statements.

Assists, and acts as a back-up to, Accounts Payable Administrator in reconciling ledger and filing receipts.

Assists in the organization of plant functions and special meetings, as well as team member recognition and community involvement.

Acts as back-up Kronos administrator for time/attendance.

Prepares facility news bulletin with input from plant staff.

Updates the company organizational charts utilizing MS PowerPoint or Excel.

Updates and distributes the company telephone, vendor and mailroom directories.

Provides back-up for ID badge system: takes employee pictures and orders badges from production.

Sorts and distributes incoming/outgoing mail.

Performs other related duties and assists with special projects as required.

Keeps manager informed of work in progress and any problem areas.

Experience and Knowledge Required

Requires high school diploma or GED. Associate's degree preferred.

Knowledge of MS Office products, ability to create and edit Word, PowerPoint, and Excel documents.

3 or more years of experience in a general administration role.

Competencies

Core competencies include strong communication skills, organization, data analysis and interpretation, and interpersonal skills. Ability to train and coach. Ability to coordinate priorities.
