Position summary: JMT is seeking an Administrative Assistant for their Longview, Texas Office. The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal correspondence. The successful candidate will be a self-starter and responsible for administrative duties supporting the Office Manager, engineering staff and other Texas offices as needed. The candidate will also greet and receive visitors and clients (in person, virtually, and over the phone) in a professional and courteous manner. Sponsorship is not available for this position.

Essential Functions and Responsibilities

  • Coordinate scheduling of training, conferences, and travel arrangements for applicable staff

  • Plan team building, office events, gatherings, awards presentations, etc.

  • Support Career Fair strategy, coordination, and logistics

  • Meeting coordination and logistics

  • Update Intranet for office as needed

  • Maintain and order office supplies as needed

  • Maintain corporate credit card and process expense reports monthly

  • Document editing and type correspondence

  • Document management

  • Process incoming/outgoing mail, to include bulk mailings

  • Maintain tidiness of office areas

  • Assist with administrative tasks on various projects

  • Assist marketing as needed

  • Assist HR with new hire processing of I-9 documentation and new hire photo, request badge

Nonessential Functions and Responsibilities

  • Perform other related duties as assigned

Required Skills

  • Proficiency using Word, Excel, PowerPoint and other MS Office software

Required Experience

  • Minimum 5 years of related experience

  • High school diploma or equivalent

Working Conditions

Work is performed within a general office environment. Work is generally sedentary in nature but may require occasional standing and walking. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. within the office environment.
