SAIC is seeking a Senior Executive Assistant to join our team in support of the Office of the Assistant Secretary of Defense/ Readiness (OASD(R)) customer. The candidate will provide direct executive-level assistance to Deputy Assistant Secretary of Defense (DASD) presidentially appointed and career Senior Executive Service (SES) executives within the OASD/R and their Chiefs of Staff. This key individual will facilitate the executive's efficiency through effective management of operational, administrative, and logistical tasks. Work is onsite at the Pentagon in Washington D.C. The ideal candidate will have previous experience as a Military Assistant, Flag Writer, Senior Military Staff or General Staff or in similar responsibilities.
Job Duties:
Plan and execute executive level meetings and events involving both national and international dignitaries.
Manage the executive's calendar, including scheduling meetings, coordinating video/teleconferences, and organizing travel arrangements and communications management via telephone and e-mail.
Maintain office infrastructure support (e.g., office supply management; photocopying, printing, scanning, and faxing).
Contribute to OASD/R staff meetings with weekly reports on significant activities related to OASD imperatives.
Support daily meetings and team meetings using common communication tools and team collaboration tools.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the SES/DASD office.
Prepare and edit correspondence, communications, presentations, and other documents.
Conduct research, compile data, and prepare papers for consideration and presentation by the executive.
File and retrieve documents and reference materials.
Manage and maintain executive schedules, appointments, and travel plans.
Arrange and coordinate meetings and events.
Record, transcribe, and distribute minutes of meetings.
Monitor, respond to, and distribute incoming communications.
Receive and interact with incoming visitors.
Liaise with internal staff at all levels.
Coordinate project-based work.
Review operating practices and implement improvements where necessary.
Ensure security clearance protocols are maintained at all times within the office.
Handle sensitive information in a confidential manner.
Work as an integrated part of the Office of the Secretary of Defense team to support key initiatives and activities across the organization.
Circulate and track to closure draft policy documents in a variety of formats, to include Congressional responses, memorandums, talking points, white papers, and standard operating procedures.
Coordinate and support movements of government and civilian personnel and provide visitor and escort support.

Excellent written and verbal communication skills, with a professional demeanor and presentation.
Minimum of five years experience supporting Pentagon or DOD Senior Executives or politically appointed leaders.Desired experience as a Military Assistant, Flag Writer, Senior Military Staff or General Staff or in similar responsibilities.
Flexibility, initiative, and a proven ability to work with Senior Executives efficiently and effectively (to include experience interfacing/communicating with Senior Executive leadership in both Government and Industry).
Strong organizational and time management skills.
Exceptional writing, editing, and proofreading skills. Experience writing briefings, correspondence, and reports.
Excellent computer skills in MS Office (Word, Excel, PowerPoint) and databases.
Demonstrated experience with Correspondence and Task Management System (CATMS).
Demonstrated experience with Defense Travel System (DTS); maintains an ability to arrange domestic and international travel for government personnel to efficiently accomplish mission requirements. This includes support for all travel and logistical arrangements.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Experience handling confidential information with discretion, and adherence to confidentiality standards.
Proven ability to handle complex administrative tasks and logistical challenges.
Familiarity with DoD protocols, military culture, and the defense policymaking environment.
Flexibility and adaptability to changing workloads.
A proactive approach to problem-solving with strong decision-making capability.
Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
Target salary range: $120,001 - $160,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.
