The American Heart Association has an excellent opportunity for a Development Coordinator in our Arlington VA office known as the Greater Washington market .
The Development Coordinator will be an instrumental part of the team, supporting the Hearts Delight Wine Tasting and Auction campaign . This mighty team of 3 works together on all aspects of the campaign and working with volunteers. This position is responsible for duties associated with supporting development team members in their fundraising efforts. Duties include handling data in several event management systems related to leadership, donations and event logistics, handling event planning with vendors and volunteers, processing payments in the financial system and collaborating with colleagues and departments on a variety of other important tasks that advance our mission.
Non-exempt hourly position with a 37.5-hour work week
Must be willing to work outside of standard hours as needed, including occasional weekends in support of events.

Responsibilities
Primary responsibilities include:
Data entry and data management.
Process donations, invoices and payments.
Coordinate event materials including:
Invitations, brochures, tribute journals, gift bags
Preparing attendee list and tracking registration
Working with vendors
Obtaining required permits
Attending assigned events to help with set-up and tear down.
Coordinate and collaborate with vendors and team to implement logistics for assigned campaigns and day of event activities at the various events and locations. You will handle event logistics, infrastructure, lighting, sound, food, volunteers, etc.
Coordinate the vendor contract process for assigned day of events to ensure that each is following American Heart Association best practices, guidelines, and procedures.
Track vendors' adherence to contractual obligations and perform as agreed upon.
Securing in-kind donations and tracking auctions 4-nights of activity. Collaborating with graphic designer on event collateral including invitations, auction catalog and other items that will be used for the event. Handle some aspects of the silent and live auctions, including research and soliciting donations.
May act as day of event volunteer liaison including train volunteers and lead assignments on-site during event.
Report preparation and tracking support requires proficient Excel and Data Management skills.
Prepare and communicate schedules, meetings and ensure timelines are met.
Perform administrative duties as required or requested.
May assist with the on-site distribution of collateral materials and volunteer access to Association systems.
Handles logistical and administrative support for division Board of Directors, Board, and other Volunteer Leadership Meetings.
Qualifications

Must have earned a high school diploma or equivalent. University/College degree or equivalent experience, preferred.
At least one year's experience in administrative work, project coordination and/or event management systems with strong attention to detail.
Experience in event planning, organizing, consultation and event management preferred. Proficient in using web conferencing software (Zoom, Microsoft Teams, Event.Gives etc.)
Demonstrated ability to work on multiple tasks concurrently.
Must have intermediate skills in PowerPoint, Word, and Excel. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
Ability to objectively evaluate, make effective decisions and develop alternative solutions.
Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers, and the public. This includes ability and willingness to build and cultivate relationships within and outside the American Heart Association.
Ability to be respectful, self-motivated, resourceful, considerate, and thoughtful.
Willingness to work in an atmosphere requiring flexibility and change. Validated ability to respond quickly to changing ideas, responsibilities, expectations, strategies, and other processes at work.
Knowledge of and skill in report preparation, proofreading and attention to detail.
Access to reliable transportation and ability to travel to events within your coverage area.
Ability to transport materials and other supplies to and from meetings and events. Ability to and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving.
Must pass background check and must be at least 18 years old.

Nonprofit experience
Project management experience
Digital event production experience
Design skills, preferably in Canva or similar
Knowledge of email marketing basics
Experience using Tableau reports
Proficient in Microsoft SharePoint and Teams
Experience with vendor negotiation and contract reviews

Compensation & Benefits
