We are currently in need of a highly skilled, organized and forward thinking Office Administrative Assistant to join our growing mental health agency to work in our Lynchburg office. As the Office Administrative Assistant, you will be responsible for helping to maintain our top-tier customer service and organizational strength, allowing our staff to meet the needs of our ever-growing caseloads in a timely and efficient manner. Excellent communication skills are vital for this position, as you are the initial member of our team that many clients and other professionals will meet. This is a fantastic long-term opportunity to work for a leading agency that is offering an immediate full-time position.
Responsibilities and Duties
Evaluates inventories and purchases supplies
Organizes files and folders
Maintains and updates client files
Develops marketing material such as flyers and brochures
Coordinates community presentation
Answers phone calls and emails
Prepares conference room for meeting or groups
Enter client and service provider demographic data into the database
Responds to Site Directors, supervisors, and clinicians inquires
Assist in developing staff schedules and appointments
Response to service recipient or referral providers inquires regarding service information.
Others as needed
Qualifications and Skills
Proficient in Microsoft Office, Google Docs, etc.
Fluency in Spanish is a significant plus.
Excellent written and verbal communication skills.
Ability to multitask and prioritize projects.
Strong attention to detail and ability to problem solve.
Independent work capabilities with the ability to complete administrative tasks with minimal supervision.
Discretion and having an understanding of confidentiality needs and concerns.
