Summary

The Scheduler is responsible for a wide variety of procedures. tests, and treatments for physicians and allied health providers. The Scheduler is accountable for accurately and completely obtaining required information in the scheduling process, ensuring the correct patient and procedure/test/treatment requested, has been scheduled. The Scheduler is responsible for organizational and problem solving abilities including working knowledge of hospital resources and functions for problem solving.

Essential Duties and Responsibilities

It is expected that all duties and responsibilities of this position will be performed in a manner that reflects the values of the Catholic Healthcare Partners, which are Human Dignity, Justice, Compassion, Sacredness of Life, and Service

Meet with patient to obtain necessary information needed for scheduling and patient availability

Answer questions regarding patient's appointments and testing

Obtain consent form when applicable

Schedules and coordinate patients' procedures/test/treatment appointment(s). Forward all necessary orders to hospital or clinic

Verify necessary information and records in CarePATH including insurance coverage

Maintain and update current information on physician's schedule

Answer telephones, screen calls, take messages, and provide information

Assemble patient's chart and update patient profiles

Schedule any pre-testing, verify benefits and pre certification for all procedures/tests/treatment as needed and other diagnostic studies as needed

Answers questions regarding appointment, diagnostic testing, and/or procedure

Verify benefits and coverage requiring knowledge of third party billing, insurance regulations and ICD-9/10 and CPT coding

Generate detailed, more personalized patient list, which allows rotations for patients that have different needs

Complete and copy all reservation, patient forms, consent forms and file original chart and procedure chart

Call representative fors pecific components if necessary for procedures/test/treatment

Check and distribute faxes

Call in any specific requests

Must be trained and competent in the scheduling and registration functionality of CarePATH and must be able to navigate in AS400, if applicable

From time to time may be asked to assist in finding and securing accommodations for out of town patients and/or families

Obtain clinical information on patients

Add on emergency cases or in-patient to providers schedule

Review each chart/patient to ensure everything has been completed prior to appointment date

Maintains confidentiality and actively supports patient/family rights

Supports and contributes to organizational cost-saving initiatives.

Recognized and reports potential safety issues

Demonstrates sound judgement by taking appropriate actions regarding questionable findings or concerns

Ensure compliance with regulatory standards

Consistently demonstrate ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary

Minimize non-productive time and Fill slow periods with activities that will enable you to prepare to meet future needs

Maintain regular attendance and do not incur excessive overtime

Performs all other duties as assigned

Qualifications

1-3 years of experience preferred

Education and/or Experience

Education: HS Diploma or GED Required, Associates degree desirable

Years of Experience: Formal education and computer training preferred and equivalent work experience preferred. Experience in medical terminology required
