TheExecutive Assistantwill provide professional and personal support contributing to the day-to-day efficiency and effectiveness of our senior level executives. Located at theBatteries Pluscorporate office in Hartland, WI, theExecutive Assistantwill provide trustworthy and reliable administrative support for multiple executives, compose professional memos, make travel arrangements, prepare expense reports, and provide helpful assistance in maintaining and prioritizing executive calendars.
As theExecutive Assistant, you will have at least three or more years of experience in administrative support, a polished and professional demeanor, demonstrate strong communication skills, possess advanced computer skills in MS Office as well as being able to adapt and learn new technology programs, and have a passion for providing executive level support within a fast-paced and growing national retailer. Responsibilities:
Executive Support
Coordinate and set up events and meetings both on and off site. Prepare phones and conferencing equipment for meetings. Assist with preparation for special guests and visitors.
Make domestic and international travel arrangements and logistics including airfare, hotels, and ground transportation. Coordinate visas and passports with CIBT for international travel.
Assist with executive time off approvals in the time and attendance system.
Prepare monthly expense reports for executives. Create draft reports (Status Reports, Line of Business Reports). Coordinate and collate reports from others into a presentation format.
Modify and edit executive Power Points/Google Slides presentations.
Work with support staff on administrative projects.
Assist with office event coordination of lunches, meetings, outside vendors, etc. as needed.
Vendor Management
Collect, measure and report on franchise system purchase participation within an approved vendor network to ensure compliance with policies.
Identify and report on non-approved vendors/products, and recommend potential vendors/products for approval.
Facilitate Special Purchasing Approval process from unapproved vendors.
Work with Franchise Administration on the compliance of approved vendor programs.
Collect Certificate of Liability Insurance.
Track Product Liability Claims and manage claim tracker.
Collect UN Test Summary from vendors and maintain tracking.
Create internal awards program terms and complete credit applications.
Qualifications:
Associates Degree
3+ years of experience in administrative support
Preferred Qualifications:
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Proficient time management skills with a proven ability to meet deadlines
Previous experience with franchise, retail or vendor contract desired
