The Payroll Coordinator processes and maintains store hourly payroll records. Receives and verifies for accuracy employee personnel and payroll information such as hours worked, insurance, or other deductions to be withheld, and employee social security/identification numbers. Records and enters payroll information or changes affecting net wages, such as exemptions, deductions, etc.. Researches wages computed and corrects errors to ensure accuracy of payroll. Prints and issues payroll checks.
-Processes store hourly payroll, including store opening trainers, in a timely manner. Researches and
audits for accuracy weekly store payroll transmissions; may require manual submission and retrieval of
timecards, hours worked, vacation requests, etc. via fax, telephone, and/or mail. Enters various payroll
transactions such as vacations, addition/deletion of indirect tips, rehires, terminations in error, etc.
Researches and resolves payroll discrepancies (i.e. wrong employee numbers, hours charged to
wrong stores, job class, rate of pay, deductions, etc.). Balances trial register with store payroll
transmittal incorporating all payroll corrections to include back pay, vacation, bonus, borrowed
manpower, insufficient/excessive tips, etc. Review hours out of home store(report) by contacting the
stores by email and making the necessary transfers once confirmed by store management. Prints and
issues checks.
-Calculate and enter sick pay requests for store hourly employees that are emailed from the managers.
-Reviews and verifies for accuracy store hourly new hire paperwork and personnel and payroll information
entered at the store. Identifies errors and contacts store manager to notify and obtain correct
information; makes necessary revisions and/or sends out new forms for completion. Verifies and
processes employee address changes. Identifies incorrect social security numbers and verifies
information with the store manager; monitors social security numbers for duplicate use and/or
undocumented individuals.
-Processes and enters all new store hourly personnel new hire paperwork. Maintains store hourly payroll
records for W-2s; processes and issues W-2 forms.
-Researches and resolves employees' payroll questions. Calculates check amount and reissues ondemand check. Logs, completes, and files documentation.
-Orders stop payments on lost checks; verifies check status with bank to ensure that it has not cleared.
Faxes lost check affidavit to employee for completion and processes new check. Collaborates with
Accounts Payable to reissue forged checks. Reviews and mails checks returned by the stores.
Processes 30-day old checks after they have been verified through the bank that there are no stop
payments on them.
-Monitors employee active status and contacts manager after four weeks of inactivity to terminate
employee, place on leave, or return to work. Collaborate with Compensation & Benefits and Risk
Management on disability/leave issues.
-Research requests from legal pertaining to wage discrepancy and process back pay after legal approves.
-Review state tax forms and update as needed.
-Other dept duties: Sends monthly US census report to the us census bureau, ordering department
supplies, maintaining inventory of payroll checks and contacting vendors for pricing when check stock
needs to be replenished, submits supplies, maintenance and equipment costs to the Payroll Manager
for fiscal year budget, maintaining the check printers, pressure sealers and laser printers and ordering
supplies and contacting the vendor for equipment repair to keep those in working order, Installs printer
consumables, run print samples for visual and quality inspection before checks are printed, reconciling
invoices for payment, distributes department mail, submit payroll percent summary each week.
-Researches and resolves employees' payroll questions and assists employees with Paycard issues,
working as a liaison between Skylight/Netspend and the employee.
-Answer live calls from the online wage statement line, return calls from messages left on OLWS voice
mailbox, answers via email OLWS email box for resetting passwords so that employees can gain
access to their wage statements and W-2s.
-Take messages from the W-2 voice mail box and email box from employees who want to change their
address for the purpose of receiving a W-2 by mail, this requires the coordinator to sign into skylight
and print off the w-2 and mail it to the employee.
Experience and Education
-High School Diploma and 1-3 years office experience; or 3+ years Payroll experience; or equivalent
combination of education and experience.
Environment and Working Conditions
-Current Work Schedule: Three days in the office required, hybrid flexibility for two days.
-The Payroll Coordinator position requires you to work longer hours on Monday & Tuesday (9 - 10 hours);
however, you are encouraged to take those hours off Wednesday - Friday by taking a longer lunch or
leaving early as long as there is coverage for the phones.
