Responsibilities

Under administrative direction, manages the community's budget and financial operations.

  • Manages the forecasting, analysis, and reconciliation of the annual budget process for assigned community(s). Distributes and communicates corporate templates and information requests from corporate to department heads, and meets to obtain and discuss budget proposals for the coming year. Applies financial models, evaluates forecasted numbers, and obtains explanations and justifications from department heads relating to significant increases and decreases from previous periods. Partners with department heads to scrutinize planning based upon prior activity, occupancy levels, financial models, etc. Conducts cost/benefit analysis for proposed spending.

  • Incorporates corporate NOI expectations into budget planning. Identifies and discusses potential enhancements and obstacles in meeting expected numbers.

  • Meets with Executive Director (ED) to discuss and resolve budget issues concerning departments' forecasting and planned spending. Presents issues and organizes meetings with ED and department heads to formulate analysis and confirm facts.

  • Critically reviews capital expense requests (CER). Discusses justifications and priorities with department heads and Executive Director. Follows corporate purchasing guidelines and tracks approved capital spending. Finalizes numbers with ED and prepares Power Point presentation for Business Plan Review with guidance from ED. Provides justifications and effectively communicates needs.

  • Communicates finalized budget numbers to department heads and educates regarding meaning.

  • Monitors budget expenses throughout the year. Routinely distributes reports and meets with Department heads to discuss financial performance and ensure integrity of data. Reconciles plan variances. Provides solutions and suggests corrective financial and operational action to department heads and ED. Alerts ED regarding anticipated difficulties in meeting NOI targets. Obtains ED's directives regarding budget and operational changes and incorporates into budget.

  • Prepares and supervises the preparation of routine and specially requested statistical and financial reports and analysis for review by ED. Identifies and presents trend lines and projections relating to income and expenses. Reconciles accounts and interprets results.

  • Submits monthly and quarterly food service, central supply, housekeeping inventory reports to corporate office. Routinely monitors inventories of supplies. Conducts cost/benefit analysis for current and proposed resources. Analyzes buy versus lease decisions equipment. Audits cash handling and purchasing/bid processes to ensure compliance, to assess credibility of vendors, and to conduct proper analysis of bids.

  • Supervises Business Office staff and operations in the processing of payroll, invoices and receipt of payments from residents. Ensures that corporate policies and procedures relating to cash, accounting, collections, purchasing, budget and payroll are followed to maintain SOX compliance.

  • Proactively manages DSO rates and follows collection procedures to obtain payments and reduce DSO. Reconciles resident accounts and informs ED regarding residents behind in fee payments. Reviews aging of accounts receivables and recommends bad debt write-offs.

  • Prepares and posts notifications to residents regarding rate increases as approved by corporate office. Routinely posts and calculates interest payments for resident's security deposits. Requests security deposit refunds for departing residents. Reviews other credits for residents and approves refunds as appropriate.

  • Upon request, may provide financial information relating to expansion and renovations in community. Assists with financial studies and projections as it may relate to the profitability of expanded services. May assist ED regarding coordination of construction phases with operational requirements.

Qualifications

Education and ExperienceBachelor's degree in accounting, management, business, or related field; or equivalent combination of education, training, and experience. Minimum of five years of progressive accounting experience for an operations center within a large multi-facility corporation. Prior experience in the health care industry and professional certifications are preferred. Prior supervisory experience is a plus. Communities with Skilled Nursing Facilities: Additional 2 years of accounting experience that includes Medicare processing and rules and regulations. Communities with Entry Fees: Prior experience that includes extensive knowledge of the financial implications and the state insurance rules and regulations governing Entry Fee communities and similar arrangements.

Certifications, Licenses, and Other Special RequirementsNone

Management/Decision MakingApplies existing guidelines and procedures to make varied decisions within a department. Uses sound judgment and experience to solve moderately complex problems based on precedent, example, reasonableness or a combination of these.

Knowledge and SkillsPossesses extensive knowledge of a distinct skill or function and a thorough understanding of the organization and work environment. Has working knowledge of a functional discipline. Excellent written and oral communication skills are essential. Windows environment computer skills are required (Microsoft Word, Excel, etc., preferred). Effective organizational skills are a must. Comprehensive knowledge of accounting principles and practices including the concepts of financial modeling, budget preparation, administration, and proper cash handling procedures.

Responsibilities

Manages the day-to-day healthcare operations of the community to ensure resident's healthcare needs are met. Ensures residents are treated with respect and dignity and ensures quality care as resident's healthcare needs change. Supervises licensed nurses and other direct care staff within the community. Strengthens clinical processes within community until a replacement is identified, then supports newly assigned Health and Wellness Director. Travels within the division as assigned to support management vacancy, start up, vacations, etc.

  • Responsible for the direct supervision of community-based licensed nursing staff (LPN/LVN, RN), the Med Techs/CMAs (if required by State Regulations) and/or Lead Resident Care Associates. May also supervise Resident Care Coordinators and Supervisor, Resident Care.

  • Assigns and directs work of subordinates; appraising performance; rewarding and disciplining associates; addressing complaints and resolving problems.

  • Provides training, supervision, and monitoring of associates in the administration of medications as described/allowed in Nurse Practice Act, to include auditing of medication administration records.

  • Provides training and education to resident care associates on an ongoing basis with classroom in-services, and situation-specific training.

  • Supervises the maintenance of resident charts and reviews documentation performed by care giving staff.

  • As described and allowed in the Nurse Practice Act, assesses health, functional and psycho-social status of residents, initiates individualized service plans, proactively manages care and services for each resident, evaluates effectiveness and maximizes the resident's opportunity to remain in their environment.

  • Manages the health care of residents, including the dissemination of information to families and associates. Ensures that family members are aware of resident's need for scheduled appointments.

  • Participates in pre-admission screening of prospective new residents. Assures that required documentation is completed prior to or upon resident admission, including nursing assessments, service plans, and other assigned forms. Updates assessments as required by policy and as described/allowed in Nurse Practice Act.

  • Performs on-site evaluations of residents admitted to alternate care environments for treatment, and maintains contact with resident families with the intent of returning resident to Brookdale.

  • Performs ongoing assessment/observation of residents' physical and psycho-social needs and coordinates with other departments to assure quality, proactive care.

  • Evaluates residents; documents changes in condition, and notifies executive director, physician, and resident's legally responsible party/family of resident's condition and reactions. Prepares Physician Visit Form and reviews and updates resident chart.

  • Facilitates continuity of care for those residents receiving home health care, hospice services, and other third party healthcare- related services.

  • Participates in or leads meetings relevant to resident care issues, such as Service Plan meetings, involving appropriate parties as needed.

  • Ensures in-house ancillary medical services such as podiatrist, doctor visits, dental visits, psych visits, lab, X-ray, ambulance, etc. are scheduled and followed through.

  • Participates in department quality improvement activities.

  • Assists in keeping the environment safe for associates to reduce the occurrence of Workers' Compensation claims by appropriately evaluating resident transfer and mobility needs and involving therapy services as indicated.

  • Shares on-call and manager on duty responsibilities/shifts as required.

  • Strengthens clinical process within the community until permanent replacement is identified.

  • Supports other requirements within the division as assigned.

Responsible for the day-to-day operational execution in support of an Executive Director within a larger community. Manages occupancy and monthly financial performance for the property. Responsibilities

Manages the associates responsible for the general operating maintenance and repair of the buildings and grounds to maintain proper care of the assigned community(s) in accordance with current federal, state, and local standards/regulations and company policies.

  • Supervises the community maintenance, housekeeping and laundry (if applicable) staff, to include hiring, training, evaluating performance, resolving disciplinary issues and firing.

  • Directs workers engaged in the maintenance and upkeep of the interior and exterior of the community. Inspects completed work for conformance to standards and policies.

  • Oversees scheduled maintenance on: H.V.A.C., elevator, fire and sprinkler equipment, generator, landscape, kitchen equipment, and emergency pull cord equipment.

  • Coordinates maintenance requests by residents for items needing repair in their rooms, including repairing plumbing, electrical, heating and replacing light bulbs.

  • Oversees repairs and maintenance of buildings including vacated rooms in a timely manner. This includes painting walls and cleaning carpets.

  • Ensures walls, floor coverings, doors, and woodwork in the common areas of the community are properly maintained.

  • Maintains positive communication with local fire Marshall, building inspector, state elevator inspector, and any other jurisdictions governing the community.

  • Assesses all plumbing and electrical problems within the community and determines the best course of action to correct the problem. Works within the legal scope of local and state codes.

  • Reviews safety data sheets (SDS) as requested for potential exposure to hazardous chemicals used and take necessary precautions.

  • Assess property damage and file property damage claims in accordance with company policy.

  • Responds appropriately to resident or community emergencies by assisting as needed.

Responsibilities

Provides marketing support services to the sales staff to ensure the timely administration of sales and marketing efforts.

  • Provides marketing support to the community in accordance with marketing and business plans. Utilizes sales processes, systems, and forms for sales to perform job duties, track information, compile data and reports, and meet or exceed community revenue goals. Provides administrative support for the Sales Department. Attends daily sales meetings.

  • Communicates daily with community sales leader and other key associates regarding the status of all prospective move-ins. Utilizes the sales systems to record pre-residency steps and to facilitate communication.

  • Serves as liaison between new resident and community by coordinating the move-in process for new residents in an efficient and welcoming manner, as needed. Ensures paperwork completion, including PPOC (Physician Plan of Care), residence preparation, mover scheduling, community support. Sets up pendants, keys, mailboxes, cable, and coordinates storage for new residents.

  • Coordinates with maintenance and operations on unit turn over (UTOs) and maintains unit availability listings for the sales team. Works with community sales leader to identify units to be made ready for sales pipeline.

  • Assists community sales leader in scheduling and executing on events including lead generation and lead advancement events and maintaining and organizing RSVP lists for events.

  • Ensures sales office is stocked with marketing information and move-in packets. May request and order marketing materials through company systems.

  • Represents the community and increases awareness through participation in outside events, professional groups, and community involvement as directed by the community sales leader. Uses relevant community knowledge and research to assist in planning, coordinating, and implementing monthly prospect and/or referral source activities and events as specified by the community marketing plan and community sales leader.

  • May answer phone calls, serve as a backup for Sales, and log leads in SMS according to UP system.

  • Maintains office -hot board- and prepares data for weekly and monthly reports. Provides sales performance information to community sales leader.

  • Maintains working knowledge of the lead management system and uses to develop reports. Inputs sales and marketing activities, as directed, in a timely manner and according to systems standards. Ensures accurate information is input into systems (e.g., Artiva, SMS, etc.).

Responsibilities

The Talent Coordinator will be responsible for coordinating enterprise-wide training within our learning management system based upon company, state, federal, program, business needs, and other requirements. Provides first level support for communities related to system functionality and use. Partners with the regional and local leadership to drive training and regulatory compliance.   • Tracks the training progress of assigned communities by reviewing the training data and sharing their progress with the district Leaders for Risk analysis.

  • Research and provide customer service to community team members on system issues and functionality. Focused on timely resolution of issues, via ticketing platform.

  • Provide prompt LMS related support to community leaders in preparation for and during active State surveys.

  • Supports company instructors with how to create, manage and update Live Events within LMS

  • Collaborates with team members and vendors to conduct data review and testing within LMS.

  • Partners with department leaders to support the LMS auditing process of training plans, courses and live event sessions to determine need for updates or retiring of courses.

  • Updates New Hire Orientation, Annual In-Service and support documentation, as well as any other talent program, as it relates to vendor course changes, additions/deletions to current training plans and calendar, as well as support documentation updates related to program changes or system interface updates.

  • Assists with bi-annual Subject Matter Expert (SME) reviews by sending 1st and 2nd requests, updating state folders, reviewing SME spreadsheet, and updating State Regulatory booklets, within our department shared drive.

  • Collaborates with talent peers to set up and manage the logistics for courses delivered by the Talent Management team.

  • Assists in the supervision of community-based licensed nursing staff, medication technicians/CMA's, and Caregivers and provides training and education to Caregivers on an ongoing basis to include classroom in-services and situation-specific training. In addition, they will also manage the associates schedules.

  • Oversees and manages the continuity and consistency of medication training, pharmacy management and medication supervision and/or administration in the community. Conducts periodic Care Associate medication skills inventory checks, and periodic medication audits per Brookdale Guidelines .

  • Shares on call duties as required.

  • Education as required to obtain state nursing license (LPN/LVN or RN) and a minimum of 1-2 years relevant experience.

Responsibilities

The Talent Coordinator will be responsible for coordinating enterprise-wide training within our learning management system based upon company, state, federal, program, business needs, and other requirements. Provides first level support for communities related to system functionality and use. Partners with the regional and local leadership to drive training and regulatory compliance. Ensures that associates are trained as directed by Brookdale's policies and procedures. Partner with talent and learning program managers on projects in the learning management system (LMS).

  • Coordinates new associate enrollment within Brookdale's LMS for required training using company approved materials within the timeframes of both Brookdale policies and state regulations.

  • Partners with internal departments to create and maintain videos, e-learning modules, and other training resources.\

  • Trains community associates on the company orientation program and LMS functionality, such as how to run/save/share reports, using the Users List to look at associate information, and how to assign courses to associates, on demand.

  • Tracks the training progress of assigned communities by reviewing the training data and sharing their progress with the district Leaders for Risk analysis.

  • Research and provide customer service to community team members on system issues and functionality. Focused on timely resolution of issues, via ticketing platform.

  • Provide prompt LMS related support to community leaders in preparation for and during active State surveys.

  • Supports company instructors with how to create, manage and update Live Events within LMS

  • Collaborates with team members and vendors to conduct data review and testing within LMS.

  • Partners with department leaders to support the LMS auditing process of training plans, courses and live event sessions to determine need for updates or retiring of courses.

  • Updates New Hire Orientation, Annual In-Service and support documentation, as well as any other talent program, as it relates to vendor course changes, additions/deletions to current training plans and calendar, as well as support documentation updates related to program changes or system interface updates.

  • Assists with bi-annual Subject Matter Expert (SME) reviews by sending 1st and 2nd requests, updating state folders, reviewing SME spreadsheet, and updating State Regulatory booklets, within our department shared drive.

  • Collaborates with talent peers to set up and manage the logistics for courses delivered by the Talent Management team.

Qualifications

Education and Experience
