The Oncology Office Coordinator plays an integral role for the Cancer Genetics Program. They are involved with triaging incoming referrals, scheduling patient appointments, incoming phone calls, patient check-in/registration and supporting the genetic counselor. On a daily basis they will interact with patients, other oncology office coordinator(s), genetic counseling assistant(s), genetic counselor(s), other members of Hickman and outside medical staff.
ACCOUNTABILITIES All duties listed below are essential unless noted otherwise 1. Triages incoming referrals and schedules genetics patient appointments including consultation and follow up appointments. 2. Coordinate mailings of accumulated patient documentation from appointment visit and maintain thorough documentation of correspondence. 3. Complete patient check-in and registration. 4. Process and package genetic testing kits for FedEx pick-up, including assisting with sample collection and/or transportation of patients to/from outpatient lab. 5. Maintains clinic databases for PCI of patient mailings, patient diagnosis, and referring physician information. 6. Utilize computerized information system in an accurate and appropriate manner to include maintaining HIPAA standards. 7. Promotes excellent customer satisfaction by promptly and courteously responding to prospective patients, patients, referring offices and providers via phone or in person. 8. Performs other related duties as assigned. Education: High School diploma Skills: Experience in a medical office with secretarial and/or administrative skills. Very detail oriented with ability to multi-task and set priorities while working in environment with multiple interruptions to daily tasks. Excellent communication skills (written and verbal) between coworkers and providers. Working knowledge of Excel and experience with database entry. Years of Experience: 1 year
PREFERRED QUALIFICATIONS Education: High School diploma Skills: Knowledge of EPIC software, advanced level of secretarial training. Genetics specific knowledge beneficial, but not required. Years of Experience: 3-5 years
WORKING CONDITIONS Physical Demands: Extended periods of sitting and frequent walking of patients to lab or shipping dock. Occasional transportation of patient to lab via wheelchair.
