Job Summary
The Diesel and Automotive Parts Procurement Specialist is a key member of the Local Purchase team. The Local Purchase team procures parts based on supply item numbers and national stock numbers found in Technical Manuals, technical descriptions, or samples. The ideal candidate for this position has a strong maintenance background and can effectively communicate with mechanics whom they support and the vendors they contact.
The Parts Procurement Specialist processes purchase requests in support of the maintenance teams who need repair parts for military and commercial equipment (HMMWVs, MRAPs, HEMTTs, trailers, all-terrain vehicles, forklifts, generators, etc.) This position processes significant amounts of paperwork and requires great organizational skills, attention to detail, and adherence to established procedures. The majority of the Parts Procurement Specialist's time will be spent researching parts online or with vendors on the phone and completing the digital paperwork required for purchase requisitions. The candidate should have good time management and multitasking skills and understand the short timeline required to procure the needed parts and services.
Roles and Responsibilities
The Diesel and Automotive Parts Procurement Specialist will:
Utilize mechanical aptitude and experience to review parts and service requests for accuracy and communicate with shops for additional information as needed. Research parts and services to prepare Requests for Quote.
Organize paperwork as directed; all workstations will be standardized
Update spreadsheet / database / folders with information & statuses daily
Request vendor information by email and over the phone
Obtain required approvals before proceeding with Requests / Orders
Place orders online and by phone, and track order status, and updates as needed
Coordinate with vendor &/or corporate purchasing regarding scheduling or documentation required
Verify materials (or merchandise) against receiving documents, reporting discrepancies and obvious damages, and processing returns as required
Complete AESIP requests
Utilize GCSS-Army to cost, MIGO, and Issue items received
Provide timely follow up regarding requisitions and receiving as necessary until order is completed
Reconcile purchasing card statements
Operate forklift, pallet jack, pickup truck, etc. as needed.
Pick up parts off site as needed
Assist in cross-training co-workers as needed / requested by supervisor/lead
Finalize work folders and scan or complete digital folder as required
Perform other duties as assigned, including being loaned out to other departments as needed
Basic Qualifications (Required Education, Experience, Skills, and Certifications)
Must be a U.S. Citizen.
Must be able to pass background check to obtain and maintain local base access.
Must be able to obtain and maintain a Common Access Card (CAC).
Requires a high school diploma or equivalent. Some additional education preferred but not required.
Must be very detail oriented and able to multi-task and prioritize
Requires at least 2-4 years of relevant work experience.
Must be familiar with purchasing and logistics; some familiarity with accounting preferred but not required.
Must be familiar with military and commercial equipment maintenance especially as it relates to technical manuals and identifying correct parts and service required for certain repairs.
Must be able to interact with Quality department regarding writing Statements of Work (SOW) for procurement of services.
Must have strong computer skills and be highly proficient with MS Office Suite.
Must possess a valid State Driver's License.
Must comply with all established methods, safety standards, quality standards, and time schedules applicable to this position. This includes working overtime as required to support the work schedule, occasionally working as much as seven 10-hour days per week.
Preferred Qualifications (Preferred Education, Experience, Skills, and Certifications)
Certificate of training from vocational school or other recognized source with a major study in automotive maintenance, automotive technology, or other related fields or documented hands-on experience in automotive or heavy equipment maintenance
Experience with databases, GCSS-Army, Deltek, CostPoint, etc.
Physical Requirements:
Must be able to stand - between 2 to 3 hours per day.
Must be able to walk - between 4 to 5 hours per day.
Must be able to Lift - up to 35 lbs.
Must be able to squat, kneel, bend, reach and climb periodically.
Must be able to work outside and inside in non-climate-controlled environments.
