Job Description

The Cullen Center Coordinator is responsible for managing non-therapeutic aspects of client care to ensure efficient operation of the office. This position performs support functions for the department director and supports all therapeutic staff.

ACCOUNTABILITIES All duties listed below are essential unless noted otherwise 1. Responsible for all office functions such as scheduling, phone calls, filing, faxing, copying, and mail. 2. Provides oversight of program insurance processes for appropriate ICD-10, registering/scheduling, CPT coding, modifier use, timely data entry and other detailed billing requirements. 3. Obtains intake information for all patients, new or established, schedules appointments and completes registration process. Verifies demographic and insurance information, updates records when necessary. 4. Confirm appointments, ensure referrals have been received and all authorizations and consent forms have been completed prior to outpatient appointments and notify patients of any missed appointments. 5. Prepare purchase orders and AP requests. Responsible for maintaining supplies, inventory, and ordering processes. Reviews supply and service purchases as per protocol. 6. In conjunction with IT and operations, oversees the IT needs of the program to include staff competencies, policy implementation, troubleshooting and equipment functioning. 7. Ensures that the practice operates within all regulatory guidelines including OSHA, CLIA, HIPAA, ODH, JC and any other relevant state of federal agency. 8. Oversees practice operations to ensure cleanliness, safety, and security of the facility. Verifies supplies and equipment are supplied and/or maintained in working order, coordinating standards with materials management, facilities, and engineering departments as appropriate. 9. Other duties as assigned. Education: High School diploma Skills: Excellent interpersonal skills; good computer skills (word, excel, etc.); strong organizational skills; ability to input and retrieve information for computer and data base systems; effective communication skills. Years of Experience: Minimum 2 years' experience in office coordinator role or equivalent.

PREFERRED QUALIFICATIONS Education: Associate degree in business or related field Skills: Experience (professional or personal) interacting with children and families who have experienced trauma. Insurance billing and coding. Knowledge of mental health terminology. Experience with electronic mental health record.

WORKING CONDITIONS Physical Demands: Must be able to occasionally lift or carry light equipment or supplies.
