The Role at a glance:
We are looking to add an experienced Executive Administrative Assistant to our team supporting the President(s), and/or other Executive Personal. As the Executive Administrative Assistant, you perform and independently coordinate a variety of diverse activities in a professional, fast-paced environment with shifting priorities. You will partner with the Executives to accomplish business objectives, maintain and coordinate schedules, and anticipate and fulfill needs.
This position is remote based in the US with around 10% travel.
What you'll be doing:
Manage complex calendars to include complex travel schedule for executives (i.e. arranging travel - both domestic and international, coordinating with other executive's schedules, etc.).
Schedule, coordinate and facilitate on-site and off-site meetings (including reserving conference rooms, catering, A/V support), facilities usage, events, and travel arrangements, as required.
Complete and reconcile invoices/receipts and expense reports.
Receive and respond to letters, e-mails, memos and other correspondence on own initiative from executive's notes or direction. Prepare and review correspondences for content and grammar as needed.
Prepare reports and presentations for a variety of audiences including executive level.
Actively assist the team to improve their efficiency and effectiveness by proactively organizing work, people, and tasks
Prepare spreadsheets, statistical summaries, and dashboards consistently or by request.
May assist in maintaining regulatory documentation,
Liaise with internal staff; ensure the executive team is aligned with calendars, meetings, etc.
What we're looking for:
Must-haves:
A high school diploma or equivalent.
7 years of experience providing admin support with at least 3 years supporting executives.
Proficiency in all Microsoft Office programs.
Superior written and verbal communication skills.
Ability to engage, observe and anticipate needs of others before they arise.
Strong decision-making skills and ability to effectively navigate ambiguity.
Excellent organizational and time management skills with high standards for quality, accuracy, and attention to detail.
Process improvement mindset - proactively resolves issues, conflicts, work processes, seeks improvement opportunities.
Flexible work hours due to team needs with no more than 10% travel.
Nice-to-haves:
Associate's or Bachelor's degree in a related field.
Experience in a matrixed environment in food/contract services.
