The Office Coordinator/Receptionists primary responsibility it to handle allfront office functions for our firm and ensure our clients/vendors are treated as our numberone priority. This position requires candidate to work comfortably in a fast-paced environment.Main Responsibilities: Answering phone calls, transferring callers as appropriate Greet customers and visitors to the office, ensuring guests are comfortable andconnected with correct office personnel Managing incoming and outgoing correspondences, including emails, mail and packagesare pass out accordingly Take funds paid by clients and record transactions-provide receipts and pass out oremail details accordingly Managing schedules for conference and community spaces Track client appointments and Walk-Ins and client call logs and intake data Maintain software data on client data: new hires, closed files etc. Office maintenance: supply orders, prepare meeting set up i.e., coffee, water, not pads,pens, etc. and general clean up daily Other duties assigned as neededRequirements: Strong interpersonal and relationship building skills: must be able to establish and maintainpositive working relationships At least one-three years of experience in a legal environment Excellent multi-tasking and prioritizing skills Customer service oriented and able to always communicate with a pleasant demeanor Ability to work under pressure and meet critical deadlines Ability to work independently and as part of a team Excellent written and verbal communication skills with all staff, management, andclients Strong PC Skills and ability to learn and successfully use new programs as required
