Content Project Manager

The Content Project Manager (CPM) manages the production of a variety of projects, ensuring they are delivered on budget and on schedule and adhere to internal standards and market requirements. Also provides support to leadership and builds and maintains effective, collaborative relationships with Editorial, Marketing, Technology, Permissions, Media Research, PreMedia, Digital Production Services, and Manufacturing teams and vendors to ensure project objectives are met. Manages vendors through/by monitoring workloads, and successful communication; escalates issues appropriately.

Production Planning

Vendor Management : Effectively manages vendors, and collaborates with stakeholders to meet batching, workflow, schedule, quality, ability, and cost requirements. May participate in the bid creation process including creating bid or scales documents, scheduling bid meetings, awarding work, and providing information for the creation and execution of contracts.

Focus on Results: Creates detailed production schedules with attention to component dependencies and needs for various delivery formats (state versions, technology, etc.). Maintains focus on end-goal throughout the project, while solving problems and removing potential blockers along the way.

Process Management: Participates in the creation and enforcement of program guidelines in collaboration with Production management and PreMedia/Design (including production specs, projects systems, subject line protocol, Project file folder structure) and suggests updates to best practices and standards as needed. Helps to facilitate and participate in Production launches.

Financial Tracking : Assists in creating and maintaining project budgets, including cost estimation, spend tracking, reconciliation, and reporting.

Product Development

Risk Management : Helps to identify, assess, and manage potential risks to projects and interdependencies, including related marketing and technology assets. Recommends and implements risk mitigation strategies.

Collaboration and Communication : Keeps all relevant stakeholders informed of any updates to project details, scope, risk, or schedule. Works effectively with vendors and internal partners across functional departments (including senior leadership, as needed) to achieve production goals, implement appropriate workflows, and regularly communicate schedule, quality, and budget updates. Facilitates component status meetings. Responsible for building strong interpersonal networks.

Quality control: Ensures adherence to quality standards, both internally and externally, by spot-checking project development against specs and by reconciling requested changes.

Change Control: Participates in the ongoing negotiation of project scope changes, including assessment of the impact on budget and schedule. Maintains vendor contact throughout project development. Works with Vendors to reconcile final invoices.

Data Integrity : Ensures that all Production information is created and consistently maintained in the appropriate systems.

Post Production: O rganizes information and coordinates with PreMedia Services for end-of-project activities (archiving, NIMAS, server clean-up, etc).

Other Essential Responsibilities

  • Champions and may lead the implementation of process and workflow efficiencies. Ensures integrity and quality of data delivered through the application of appropriate in-house tools/external resources.

  • Participates in and/or leads cross-functional project meetings.

  • Provides regular feedback on vendor performance to management.

  • Perform additional responsibilities as needed to achieve company goals.

The Ideal Content Project Manager will:

  • Hold a BA/BS or possess equivalent work experience.

  • Have a minimum of 2 years relevant experience in print and/or media production, which may include but is not limited to scheduling, copyediting, proofreading, composition, prepress, design, and permissions.

  • Possess a minimum 1 year of project management experience; able to successfully manage, organize, prioritize, and handle multiple projects and tasks including interdependencies between projects.

  • Have experience with formal project management software and/or techniques.

  • Be familiar with financial models; have a demonstrated ability to accurately analyze financial data and recommend relevant production activities.

  • Possess a working knowledge of contracts, forms, and agreements and have an ability to manage negotiations.

  • Demonstrate experience managing change and dealing with ambiguity

  • Demonstrate experience working effectively in a team environment and directing outside vendors and freelancers

  • Possess advanced knowledge and use of Adobe Acrobat and Microsoft applications, including spreadsheet, database, and word processing skills.

  • Possess excellent written and verbal communication skills, including the ability to appropriately tailor communication for various audiences and settings

  • Ability to work collaboratively, provide feedback in a constructive manner and relate product requirements succinctly and effectively

  • Proven problem-solving and critical-thinking skills; able to predict, identify, and independently resolve issues in a timely and effective manner.

  • Ability to anticipate, adopt, and implement new processes, procedures, and standards in an environment of continuous improvement and innovation.

  • Strong attention to detail.

Preferred:

  • Teaching experience in Secondary or Career & Technical Education

  • Experience with differentiated text and Lexile levels

  • Understanding of appropriate voice, vocabulary, and compositional structure for students across grades and reading levels

  • Familiarity with content formats (HTML, XML) and product platforms

  • Knowledge of ADA compliance

  • Experience with reviewing content with an eye for diversity, equity, inclusion, and belonging
