What We're Looking For
Responsible for supporting assigned procurement programs including but not limited to, travel, records management, fleet management and office services. This position will provide billing and administrative support, customer service and process purchase orders, invoices and adjustments.
Primary Focus Will Include:
Paying and researching vendor invoices
Tracking contract expiration
Provide customer service to internal stakeholders
Work with a variety of vendors/partners on issue resolution
Assist program managers with daily activities such as running reports and tracking budget
Completing expense reports for a variety of company credit cards
Preferred Qualifications and Skills:
Associate's degree in Procurement, Purchasing, Supply Chain Management, Business or relevant degree
4 years relevant experience
What You'll Need
Essential Responsibilities:
Supports procurement programs billing activities; receives and reviews complex invoices, creates payable files in partnership with IT and Accounting and loads file into the ERP system for processing and payment. Processes Expense Reports for corporate purchasing card, procurement cards, and meeting cards. Works closely with offices to modify or change account and WBS codes on all programs and maintains master list.
Creates user accounts in all related procurement platforms, communicates and trains end users. Reviews weekly termination lists to cancel credit cards, access cards and user accounts.
Books travel for employees without corporate credit cards as well as the human resources recruiting department. Requests refunds from various vendors including; airlines, hotels, car rentals and postal/delivery services.
Performs administrative tasks for the procurement department; reserves meetings in restricted conference rooms, orders supplies and updates and maintains department manuals.
Assists procurement team members with credit cards audits and escalates complex issues to Senior Specialists or Managers.
Performs other duties as assigned.
Minimum Qualifications:
High School Diploma/GED or equivalent
2 years administrative or relevant experience
