Position Title : Administrative Assistant
Location : King of Prussia, PA

A rapidly growing client services organization is looking to bring on an Administrative Assistant to their team to support daily facility operations. Qualified candidates should be highly proficient in MS Office Suite, excellent communication skills & 3+ years of experience in administrative functions.
Responsibilities Include :
Greet clients, vendors, recruits, and other visitors in a courteous and professional manner
Provide main office phone coverage through WebEx, routing incoming calls to the appropriate team members
Perform reception duties in an efficient, professional, and courteous manner
Support and coordinate client visits and internal meetings, including scheduling and preparing conference rooms
Support Design Group recognition programs
Manage incoming and outgoing shipments, coordinating with couriers, FedEx/UPS, and U.S. mail services
Order and maintain office supplies and equipment
Manage tradeshow booth supplies and backdrops, and coordinate shipping for events
Support emergency action plan updates and communications
Facilitate the onboarding and offboarding processes for employees
Maintain internal documents, e.g., phone lists, excel spreadsheets
Collect and process expense reports, manage receipts, and ensure compliance with guidelines
Support professionals with internal resume submissions and upload to intranet site
Maintain, update, and review proposals, presentations, and reports for accuracy and completeness
Update and maintain the monthly presentation for reception area TVs across all Northeast Region offices
Support planning, execution and cost tracking of team events and celebrations
Qualifications :
Advanced MS Office Suite (Excel)
3+ years experience working on network files, using OneDrive, and sharing files through Teams, OneNote, and MS Planner
3+ years experience shipping, tracking, and ordering booth supplies
