JOB SUMMARY
The administrative rep role is to provide excellent customer service and administrative support to a department or plant. Timekeeping responsibilities are a critical aspect of this role. The admin rep will make use of MS Office tools such as Word, Excel, PowerPoint and Outlook are key requirements for this role. This position requires working within a team as well as working independently.
JOB DUTIES & RESPONSIBILITIES
Perform extensive timekeeping duties for over 100 employees via a timekeeping application
Process expenses and purchase card transactions
Maintain compliance surrounding timekeeping and purchase card administration
Process vendor invoices and resolve discrepancies in a timely manner
Manage and maintain confidential files and information
Schedule and coordinate meetings, conference calls & related logistics (i.e. equipment for presentations, agenda, minutes, handouts, reservations, refreshments, etc.)
Maintain office supply inventory and order as necessary
Coordinate special projects
Provide back-up support for peers in various departments
Handle travel arrangements including airfare, hotel and rental vehicles
JOB REQUIREMENTS
Minimum 2 years administrative support experience is required
Proficiency in Microsoft Word, Outlook, Excel and Power Point is required
Experience with eStars (timekeeping), SHIPS (Peoplesoft), iExpense, and MAXIMO is desired
Basic understanding of accounting principles is helpful
Knowledge of Contractor and IBEW Guidelines is preferred

OTHER REQUIREMENTS
The SASS Pre-employment test is required.
Associate's Degree in Business or related area preferred
