Administrative Assistant Sr - Southern Company

Job Description

Job Summary:

The purpose of this position is to provide advanced-level administrative support to the Vice President of Customer Experience for Southern Company Gas. The incumbent will be required to instill confidence and trust by proactively identifying and anticipating administrative or other support needs and ensuring they are met.

Representative Duties and Responsibilities:

  • Provides executive support to Vice President of Customer Experience; schedules and maintains complex calendar; schedules internal and off-site meetings; coordinates rescheduling to meet business demands and time constraints; ensures VP fulfills business and personal meeting obligations

  • Plans travel logistics; schedules travel arrangements (e.g., air, hotel, ground transportation, restaurants)

  • Monitors in-coming phone calls and email; responds or forwards as appropriate; highlights messages requiring follow-up or approval; ensures timely responses

  • Processes confidential information; maintains confidentiality (e.g., SoCo Gas Management Council Meeting agenda items, potential business opportunities, executive pay/issues/decisions, Board decisions)

  • Independently drafts standard/routine correspondence; reviews correspondence, reports, and/or presentations prepared by others for the Vice President of Customer Experience

  • Oversees administrative functions of the office to include preparing and processing employee information and purchasing activities, along with processing invoices; reviews and reconciles purchasing card expenses; enters and approves information in Oracle

  • Serves as executive liaison for addressing customer service inquiries; research, resolves, and responds to inquiries with minimal assistance; maintains a record of external customer inquiries and resolutions; provides updates to Vice President of Customer Experience

  • Coordinates and schedules logistics for meetings (e.g., conference rooms, refreshments, audio-visual equipment, registration fees, participant invitations, travel reservations)

  • Coordinates special projects or assignments as requested

  • Strong customer service when working with leaders, partners, and employees; willing to help others when needed, not just the Vice President of Customer Experience

Education and Experience

Required:

  • 5-10 years of experience supporting a Director or above

Preferred:

  • BA/BS degree

  • 5-7 years supporting a Vice President or above

Skills Required:

  • Demonstrated ability to handle information in a sensitive and confidential manner

  • Demonstrated ability to work with all levels of the organization and the Board of Directors

  • Demonstrated ability to work independently

  • Strong judgment and discretionary skills

  • MS Office - advanced proficiency (Word, Excel, PowerPoint)

  • PeopleSoft Financials - intermediate proficiency

  • Interpersonal skills

  • Time management (planning, scheduling, prioritizing) skills

  • Demonstrated ability to master new business systems/software applications

  • Ability to prioritize, coordinate and schedule various tasks in a dependable and organized manner with little direction

Job Summary:

The primary purpose of this position is to lead managing billing and letter functions, back-office management as well as providing our Consumer Relations Team and IT team Support for SouthStar Energy Services' Expanded Markets and Illinois Markets. The incumbent in this position will handle UAT support for projects initiated by the System Operations team as well as working closely with Regulatory, Legal and Marketing Teams to assess any required market letter requirements. The incumbent in this position also supports the monthly pricing process for the Customer Operations team ensuring that pricing and promotion code setups are implemented accurately. The incumbent in this position should be able to review processes across the team and make recommendations for process improvements. The incumbent in this position should have the ability to review any system concerns and run SQL queries to quantify issues and make recommendations for system enhancements.

Job Responsibilities:

Functional Expertise:

  • Aligns closely with Regulatory, Legal and Marketing to support all Expanded Market letter requirements while also performing a quarterly audit that ensures all letter content, setup and state requirements are met.

  • Monitors billing and error handling for the Expanded Markets; proactively resolving any billing or error issues by running SQL queries and determining the extent of the issue.

  • Supports UAT Testing efforts for the Expanded Markets billing system.

  • Supports all pricing and promo code set up in the Expanded Markets while also ensuring that any issues with pricing or promo codes are actively researched and corrected as soon as possible.

  • Performs a letter audit to ensure that content, layout, mailing timelines as well as all state regulations are being met.

  • Reviews daily system generated reports to ensure that all applicable IT functions are working as designed.

  • Participates as a SME in Expanded Markets projects by working with the Project Managers in requirements gathering, design, testing and implementation of system enhancement projects.

  • Supports the Consumer Relations and Customer Care teams by investigating any billing or letter concerns.

  • Serves as reporting liaison for the Expanded Markets System reporting and data requests.

Business Acumen:

  • Ensures that all SOP (Standard Operating Procedures) are kept up to date by continuously reviewing content and making updates based on system enhancements and project implementations.

  • Identifies root causes for billing errors and exceptions.

  • Manages the print vendor relationships for Customer Operations.

Engagement:

  • Liaises with the Marketing Team to coordinate rate updates, monthly billing, promo code updates and any pricing update requests.

  • Works with SouthStar personnel to develop and launch new customer operations processes and process improvements.

  • Liaises with Vendor and LDC personnel and SouthStar business owners to gather and document requirements for operational changes in the Expanded Markets.

  • Liaises with SouthStar business owners to gather and document requirements for deploying system enhancements in the Expanded Markets.

  • Works with SouthStar personnel to develop and launch new customer operations processes and process improvements.

  • Liaises with marketing team to ensure all promotion codes are set up in applicable systems timely and accurately.

  • Supports the SouthStar Customer Service Support rewards and recognition program.

Driving Results:

  • Gathers and analyzes data from multiple sources to identify and implement new processes and process improvements in billing and Customer Service Support operations for the Expanded Markets.

  • Creates project plans with controls, milestones and checkpoints for system implementation projects.

Qualifications

Education, Certifications/Licenses:

Required:

Bachelor's degree or 5+ years of applicable experience

Related Work Experience:

Required:

5+ years of experience in consumer services, or business to consumer (B2C)

Retail utility experience

The purpose of this position is to protect company assets from damages, encumbrances and encroachments on all distribution and transmission pipelines, their associated abutments, land right-of-ways and easement rights. Serves as field SME in organizing and structuring the activities of Asset Protection Specialist. This is an operational role that requires ensuring compliance is maintained with state, federal and corporate pipeline safety regulations and standards for AGL Resources (AGLR) and subsidiaries.

JOB RESPONSIBILITIES & ACCOUNTABILITIES BY COMPETENCY

Functional Expertise:

  • Serves as company Asset Protection liaison between excavators, municipalities, builders, developers, land owners, logging operators, AGL Contractors and/or their agents / contractors, etc by responding to any issues or concerns.

  • Oversees, monitors and assists on all Asset Protection responsibilities, to include but not limited to: right-of-way patrols, right-of-way quality audits and locator quality audits, etc. to ensure they are performed with quality, within compliance and that records are accurate. Performs procedural field observations of Asset Protection staff as instructed by Manager.

  • Assist in the development and improvement of MSA's and SOW's for contractors working with the Asset Protection department.

  • Respond to inquiries from all stakeholders including; state regulators, excavators and/or home owners on damage prevention topics.

  • Negotiate and propose alternatives to field conflicts.

  • Conduct quality audits on locate contractors and right-of-way contractors to ensure compliance and quality is maintained while updating the required electronic system.

  • Conducts all 2nd and 3rd party damage investigations and provides thorough and accurate damage reports to be submitted to the Virginia State Corporation Committee. Determines root cause of damages and address issues with locate contractor or excavator on site and provides training as necessary.

  • Conducts education sessions with locate contractors, excavators, land owners and homeowners regarding protecting assets.

With full support of the Southern Company Management Council, the electric operating companies approved a four-year business initiative leveraging technology to help the electric operating companies realize the vision for a modernized, efficient digital customer experience to deeply engage with our customers and provide a more personalized experience. The initiative will implement a new Customer Information (CIS) and Meter Data Management (MDM) systems, along with an advanced analytics platform, enhanced customer engagement tools for our customers and a modern agent desktop. The program will impact all 4.2 million electric customers across all our customer engagement channels (Voice Response Unit (VRU), web portals, etc.) and includes billing over $52 billion annually for Southern Company. This initiative is focused on the electric operating companies. The project team will consist of an estimated 450 internal and external resources spread across five workstreams.

The primary responsibility of the Product Manager is to lead the team responsible for defining and delivering the business, functional, and technical requirements for Call Center Technology Application Remediation. This position will oversee the strategy, roadmap, planning, architecture, development and sustainment of the application, integrations, and business processes, in support of multiple business units.

The Product Manager will be responsible for managing costs, issues and risks within the team and coordinating and collaborating with leaders across the CIS workstreams as well as within the business to ensure successful design, integration, testing, and deployment of the application in alignment with the CIS solution.

This position will have direct and indirect responsibility for key technology decisions and project delivery, to serve as a point of escalation, and to resolve issues across the application teams when issues cannot be resolved at the team level. MAJOR JOB RESPONSIBILITIES:

Job Overview:

Travel requirements:

On-call duties:

  • Develop, deploy, monitor, and refine effective on-line equipment performance and condition assessment models using an Advanced Pattern Recognition (APR) tool.

  • Monitor and analyze APR tool and PI event frames alarms. Utilize trending and SME analysis if needed to verify validity of alarms.

  • Communicate with Plant Operations personnel any observed equipment issues.

The Product Manager will be responsible for managing costs, issues and risks within the team and coordinating and collaborating with leaders across the CIS workstreams as well as within the business to ensure successful design, integration, testing, and deployment of the application in alignment with the CIS solution.

This position will have direct and indirect responsibility for key technology decisions and project delivery, to serve as a point of escalation, and to resolve issues across the application teams when issues cannot be resolved at the team level. The Manager will also escalate issues that impact other project teams or require additional business signoff to the corresponding Director.

Bachelor's degree in business, MIS, Computer Science, or a related field is required.

5-10 years of experience in the electric utility industry with at least 3-5 years of experience leading cross-functional departments and teams

MAJOR JOB RESPONSIBILITIES:

Coordinate with stakeholders, business subject matter experts, technical resources, and third-party vendors to ensure functional and technical requirements translate to the delivered solution

Knowledge of customer experience technology and all customer channels (Web, IVR, Mobile App, Digital Assistant) along with an understanding of prioritization of customer experience capabilities required to be enhanced and/or remediated as part of the CIS project

Coordinate with CX legacy source systems and Ascend Program teams to enable timely response around design approvals, testing and data creation

Manage stakeholders and their engagement in key project decisions including Dress Rehearsals and Go/No-Go

Manage CX performance testing requirements and ensure alignment with CIS/MDM project plans

Oversee application compliance with Southern technical and business standards.

Identify potential solutions that address platform data preparation needs based on business requirements and coordinate with stakeholders, subject matter experts, and technical resources to deliver

Ensure application delivery strategies align with the CIS project goals, strategies, and governance process

Create and maintain workstream workplans

Serve as the primary liaison to operating company leaders for application implementation activities

Identify risks and issues for the workstream

Entry level position as a member of a crew engaged in installing, maintaining, and repairing gas mains and service lines. JOB DUTIES AND RESPONSIBILTIES

  • Provides assistance with all distribution activities involved with the installation, repair and maintenance of the distribution system to include:

  • Operating basic equipment and tools

  • Traffic control

  • Landscaping and general maintenance

  • Digging, shoring, repairing leaks, testing and wrapping pipes

  • Pressure recording devices

  • Uses a variety of tools (hand, air, shovels, etc.) while performing distribution crew activities.

  • Responds to questions from customers and provides answers directly or by referral.

  • Operates Automated Dispatch system to complete meter reads and turn-offs service at customer's premise.

  • Identifies abnormal operating conditions and takes appropriate actions.

  • Performs simple sniff tests to detect gas leaks.

  • Work closely with Campus Recruiting Consultants to meet hiring needs and ensure that hiring aligns with business goals/expectations; requisition creation, increase candidate flow, screen candidates, process hires, and partner with the team to develop strategic solutions to attract and acquire high-quality, diverse candidates.

  • Occasionally participate in career awareness events such as career fairs, informational sessions, and interview preparation programs with local community groups, colleges/universities

  • Perform work in compliance with applicable federal, state, and local regulations pertaining to equal employment opportunity, immigration, and company policy per management direction.

  • Interact with various levels of candidates, human resources, and hiring managers to support recruiting needs.

  • Conduct telephone screening of candidates in support of recruiters, supervisors, and hiring managers.

  • Periodically participate as an objective representative during interviews in support of recruiters, supervisors, and hiring managers.

Job Qualifications:

Education Requirements:

  • Bachelor's degree in human resources, Communications, Marketing, or a related discipline preferred.

Experience Requirements:

  • Minimum 3 years of experience providing support in an HR environment.

  • Experience supporting the full-cycle recruitment process for high-volume, non-exempt, and exempt level positions (preferred).

  • Excellent consultative, strategic thinking, problem-solving, influential, and interpersonal skills.

  • Demonstrated ability to engage, consult, and partner with both external and internal clients.

  • Previous participation college/university and community at-large recruiting events (preferred).

  • Advanced skills with Applicant Tracking Systems, Oracle HCM, Microsoft Word, and Excel preferred.

The Southern Company Talent Acquisition - Campus Recruiting organization is currently seeking to hire a highly professional, fast-paced, well-organized, full-time Recruiting Coordinator to support our campus recruiting efforts.

Success in this role will depend on your passion for campus recruiting while emphasizing a positive candidate and hiring manager experience. A significant part of this role will be to support the recruitment team at each stage of the process, focusing on administrative functions, allowing the recruiter to concentrate on direct sourcing, screening, and consulting. This individual will use their knowledge of recruiting and customer service experience in a high-volume environment to partner with the Recruiting Consultants throughout the recruitment process.
