Some accounting experience and education preferred.Job Responsibilities Manage professional and personal scheduling for President, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives Manage, coordinate, and arrange senior executives travel and travel-related activities, including hotel booking, transportation, and meal coordination Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business Organize team communications and plan events, both internally and offsite Answer phone and greet customers Assist office and field employees with misc. tasks Create service tickets and transfer the proper dispatch information to appropriate parties Assist project managers to ensure project startup documents are completed prior to project start. This includes all required documentation being sent to the field personnel as well. Write and distribute all contract documents to the owner. Ensure signed documents are in place at minimum of one week before job starts. Assist with payroll processing, AIA billings, invoice reconciliation Assist estimators with gathering documents, included but not limited to construction drawings. Input job set into construction software system (Foundation experience is a plus) Ensure all subcontractor contracts, W-9, insurance, and closeout items are returned to the office prior to the construction start. Properly assemble, log, and distribute job closeout documents. Additional administrative tasks as requested by project management administratorRequirementsRequirements Ability to keep company confidences Must be competent in the use of computer software applications used for estimating and project control including Microsoft Word, Excel, Project, and Outlook. Superb written and verbal communication skills. Strong time-management skills and the ability to organize and coordinate multiple projects at once. Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
