The Role
HII is seeking a highly organized and self-motivated Administrative Assistant 3 to provide comprehensive administrative support to our Corporate CyberIT (CIT) department. This role is critical in ensuring the smooth operation of key IT functions including onboarding, visitor and guest building access, equipment management, and more. The ideal candidate will demonstrate excellent communication skills, the ability to work both independently and as part of a team, and proficiency in managing various tasks simultaneously.
Key Responsibilities:
Onboarding Support: Coordinate and manage the onboarding process for new hires in the CIT department, including setting up systems access, equipment, and relevant documentation.
Visitor & Guest Access: Manage visitor and guest building access for the CIT department, ensuring security and compliance protocols are followed. Process Visitor Badge requests for visitors, contractors and extended visits.
Travel & Expense Reporting: Arrange travel, prepare process pre-trips and expense reports for the department, ensuring accuracy and compliance with company policies.
Supplies & Equipment Management: Manage ordering of office supplies and additional equipment as needed for departmental functions.
Records Retention: Maintain records for the department, ensuring compliance with retention policies and easy access to critical information.
Meeting Support: Coordinate and support departmental meetings scheduling meetings preparing agendas and taking meeting minutes as needed.
Communications: Serve as the point of contact for departmental communications as needed, ensuring messages and directives are properly cascaded to the team.
Food Order/Catering: Submit food order via onsite catering/off-site catering in support of meetings.
Ad Hoc Assignments: Assist with various administrative tasks as needed, ensuring the department operates smoothly and efficiently.
Back-up support : provide support to other Admins.
Must Have
High School/GED and 4 years of additional education and/or experience
