POSITION SUMMARY
The Executive Assistant provides high-level support to General Manager including heavy calendar management, successful coordination of business meetings, conducting research, preparing reports, handling information requests. They serve as liaison between executive and other departments within organization. They exercise independent judgment in the resolution of administrative problems. They prioritize and manage multiple projects simultaneously with little or no supervision

Essential Functions Statement(s)
o Performs typing and transcription duties to support the General Manager.o Implements standard office procedures, including the pickup and distribution of morning mail and answering telephone. o Compiles data for special project requests.o Responds to personnel and staff in regard to requests for information and assistance.o Monitors e-mail for General Manager in his absence.o Plans and coordinates all company functions.o Initiates inventory and ordering of office supplies.o Maintains monthly key events to include, BVIP Meeting, Manager Reports, Staff meeting preparation, Short Report, and Dash Boards.o Arranges travel, lodging, and meals for employee travel.o Updates and reports weekly and monthly safety hours.o Updates daily Visual Management Slide (VSM).o Distributes weekly Vacation Log to all USM Employees.o Oversees all office set ups and renovationso Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reportso Maintains highest level of confidentialityo Exercises administrative judgment; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional areao Performs other duties as assigned

SKILLS & ABILITIES
Education:
Associate Degree (two-year college or technical school or equivalent experience): Required Bachelor's Degree (four-year college or technical school) Preferred, Field of Study: Business, Human Resources or similar: Preferred
Experience:
- Four plus years' experience as an Administrative Assistant or experience in a Human Resources setting: Required- Demonstrate interpersonal skills and be able to interface with all levels of the organization both domestically and Internationally: Required
Computer Skills:
- Proficient with MS Office (Word, Excel, PowerPoint, SharePoint, and Outlook): Required- Proficient with Human Resources / payroll software: Required
Certifications & Licenses:
Valid driver's license must be maintained throughout employment that meets Busch insurance standard
Other Requirements:
May require domestic travel for training purpose.
