Title:

Senior Executive Assistant

KBR is seeking a Program Analyst to join our Team! This position supports the PEO office at the Naval Air Systems Command (NAVAIRSYSCOM) at Patuxent River, MD. The PEO facilitates the work of program teams and provides assessments on program cost, schedule, and performance to the appropriate Milestone Decision Authority (MDA).

The selected candidate will relieve the PEO of clerical, administrative details and manage the office to include, but not limited to, procedures as related to visitors, correspondence, records, information, conferences, and a variety of other areas.

Functional Description:

Provide administrative or secretarial support to a department and/or Manager. Responsibilities may be unique to a specific function or department such as Procurement or Engineering, but mainly administrative in nature and works within a specialized function to complete broadly defined tasks which require advanced problem solving and recognition skills. Supports general business operations by providing guidance for administrative support activities.

Requires ability to perform numerical, statistical, and/or financial analysis. Must use initiative and judgment arranging job details to achieve predetermined objectives.

May provide guidance to less experienced team members.

Provide high-level administrative support by handling information requests and performing clerical functions such as preparing and tracking correspondence, receiving visitors, arranging conference calls, calendar management and scheduling meetings.

Coordinating read-ahead briefings.

Role and Responsibilities:

The selected candidate will serve as the lead Executive Assistant and office manager and is the office authority on administrative/clerical matters in the Program Executive Office (PEO) in order to provide an effective, smooth flowing office routine.

Must use initiative and judgment arranging job details to achieve predetermined objectives.

Supports general business operations by providing direction and guidance for administrative support activities.

Hold regular meetings with personnel to exchange information and keep them up to date on office policies and procedures.

The selected candidate requires the ability to perform numerical, statistical, and/or financial analysis.

May provide guidance to less experienced team members.

Prepare replies to correspondence for supervisor's signature, prepare memoranda to divisions within the Group requesting information, and/or disseminate information and instructions.

Review correspondence for the PEO or for signature at a higher echelon in the Command or Navy Department. Responsible for the establishment and maintenance of the correspondence tracking system (on shared drive) for the PEO Front Office to log in/out correspondence.

The selected candidate will be responsible for officer fitness reports which require signature of the PEO or DPEO and review officer fitness reports for form and completeness.

Maintain office calendar, schedules appointments and conferences, without prior clearance, and ensure the PEO, DPEO and COS, when appropriate are fully briefed on matters to be considered before scheduled meeting.

The selected candidate will compile and maintains pertinent summary and reference information in the use of PEO/DPEO/COS, as appropriate, in making decisions.

Maintains confidential, personal, and other files for the PEO, establish or revise files to meet current needs and demands for materials.

Makes all necessary arrangements for travel, i.e., reservations, plans itinerary, schedules visits and makes appointments and prepares travel vouchers utilizing DTS, updating BASICS II information.

Contract Requirements:

Required Education:

A BS or BA Degree in a Business-related field is required OR An associate's degree plus two (2) years additional work experience performing duties described in the functional description may be substituted for a Bachelor's degree OR four (4) years of additional work experience performing duties described in the functional description may be substituted for a bachelor's degree.

Required Experience:

Senior - over 10 years of combined experience performing duties described in the functional description.

Desired Experience: 1 year of experience using DTS, JPAS and BASICS II.

Additional Skills:

Ability to assess, apply, and recommend improvements to established business processes; and can balance priorities to work effectively in the fast-paced program office environment.

Must be highly proficient Microsoft Office (Word; Excel; PowerPoint; Project & Outlook).

Must be a self-starter and be able to capture actions items and meeting minutes.

Contract requirements regarding education and experience will prevail.
