Global Rental, Service & Marketing (GRSM) is a part of the Services, Distribution & Digital (SD&D) segment. GRSM is comprised of Global Rental & Used Equipment Services, Global Service and Global Marketing & Brand. A primary role of GRSM is to support and enhance Caterpillar's dealer network, which is a competitive strength and the critical way in which we serve our customers.

As an Administrative Assistant , you will provide advanced clerical and administrative support and relief of administrative detail to company executives, availing them the additional time for their top management responsibilities. Must have a passion and enthusiasm for exceeding expectations of the role.

Job duties include, but are not limited to the following:

  • Operate a PC and standard software programs, including the use of advanced levels of understanding and skill in Microsoft Office.

  • Prepare expense books.

  • Schedule and prioritize all appointments and meetings.

  • Arrange customer/dealer/consultant visits including lodging, meals, scheduling, meetings, etc.

  • Organizing and expediting workflow through the supervisor's office.

  • Organize, complete, and maintain large projects such as a database for a process improvement. This might also include the direction and coordination of the activities of others such as temporary clerical help, co-ops, other administrative professionals, etc.

  • Uses discretion, judgment, and initiative to continue the work responsibilities of the office in an efficient manner when the manager is unavailable. You must determine what can be handled immediately by direct reports, referred to others, held for manager's return or completed by the administrative assistant independently.

  • Ensures travel and lodging accommodations as required by the manager. You must tend to all the details involved with manager's visits to Caterpillar domestic and overseas facilities and to other companies and unions.

  • Coordinates special events. Responsible for travel and lodging accommodations, arranging tours, product demonstrations, meals, etc.

  • Reconciles monthly Digital Media Marketing spend.

  • Proactively reads, researches, routes, and responds correspondence.

  • Collects and analyzes information, drafts documents, and creates presentations.

  • Ensures principle is well prepared for all meetings, including all relevant materials briefed and arranged.

  • Handle and safeguard confidential and proprietary information.

  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies, includes acquiring and maintaining technology needs through standard procedures, onboarding, sourcing, and work space coordination.

  • Anticipate needs and proactively provide support, including upcoming deadlines, preparing meeting materials.

  • Handle ad hoc administrative tasks and special projects as assigned.

  • Comfortable interacting with other executive office Administrative Assistants.

Basic Qualifications:

  • Experience in an administrative role at various levels in an organization

  • Experience working in Microsoft Office Suite (specifically creating PowerPoints, basic spreadsheets, and communications on the manager's behalf)

  • Experience with drafting communications and proofreading documents on behalf of the principle

  • Must be willing to travel up to 10% of working time (domestic travel)

Top Candidates will also have:

  • Experience understanding the company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned area

  • Experience working and thinking independently, while maintaining superior organization and a high-level of confidentiality
