The Role at a glance:
We are looking for a Staffing Coordinator to add to our PA Commissary team in Philadelphia, PA. As a staffing coordinator you will be responsible for supporting the administrative and management team, specifically the Service Director and staffing department, through the successful and accurate completion of daily and weekly tasks. Assists with the functionality and efficiency of the logistical support for events, helping with any ongoing projects or urgent needs that may take priority. Facilitate and monitor effective and compliant processes and procedures under the direction of the Director of Operations and in collaboration with the management team. Demonstrate leadership, integrity, attention to detail, thoroughness, and resourcefulness.
What you'll be doing:
Present a professional, objective, and consistent demeanor at all times to both internal and external associates.
Promote and maintain positive working relationships and create a team environment within the office amongst associates, managers, and vendors.
Consistently and effectively receive and disburse pertinent information across departments as appropriate.
Assist with the management of internal and external job postings.
Assist with ensuring onboarding and training are completed in a timely and efficient manner.
Liaise with staffing agencies in a helpful and friendly manner to ensure additional personnel needs are met.
Under the direction of management, coordinate correct payment to staffing agencies for temporary labor.
Ensure associate lists are updated and well maintained inclusive of contact information, TIPS certifications, compliance, etc.
Assist management with associate initiative programs, inclusive of referrals and payouts.
Assist management and the staffing department with scheduling platform software, executing event change requests, creating party folders, and other logistical event support.
Coordinate transportation details (including buses, vans, staff drivers, etc.) for off-premise events as necessary and directed by management.
Ensure all transportations costs are communicated to the finance department weekly.
Travel, as necessary to properties and venues.
Attend functions/events, providing support and on-call coverage as needed, inclusive of weekends.
Follow proper time keeping policies and procedures.
Follow all sign in and out procedures for keys.
Attend and participate in all scheduled meetings and training sessions.
Know and follow all emergency and safety procedures. Standards: - Always practice Caring Culture. - Protect the assets of the property. - Maintain professional behavior when in contact with guests and associates. - Follow Policies and Procedures in training manuals and associate handbook. - Always remember we are in a partnership with our guests, fellow associates and owners to provide quality service and profitability. - Regular attendance in conformance with the company standards is essential to the successful performance of this position. - Must have the ability to read, speak and understand English, and to follow written directions and verbal instructions in English. - Ability to work productively and cooperatively in a high volume, fast paced, highly pressured environment, and be able to lead and respond efficiently to unanticipated problems and crises.
What we're looking for:
QUALIFICATIONS:
High school diploma or equivalent. Certification in Office Administration or related college degree preferred. - 2+ years related administrative experience and prior experience with high level banquet or catering service preferred. - Ability to handle multiple tasks and work effectively, independently, and efficiently with time constraints. - Must be creative, innovative, and proactive to problem solve and alternate course quickly. - Must be detail oriented with strong organizational skills and perform work accurately and timely. - Proficient computer skills necessary including Microsoft Office, Delphi, SharePoint, Resy, and Triple Seat. - Ability to effectively, professionally, and respectfully communicate with co-workers, supervisors, vendors, and clients. - Able to work a flexible schedule in order to accommodate business levels (weekend and holiday availability required).
