The Northwest Ohio Hemophilia Treatment Center is a hospital outpatient department that specializes in the care of patients with bleeding disorders, clotting disorders and other benign hematological disorders. We are a comprehensive care center that specializes in the care of patients across the lifespan. Hemophilia Treatment Centers are federally designated and emphasize preventative services to help reduce or eliminate complications. We are also a Center for Excellence in the care of women/girls with bleeding.
Position Summary:
The Office Manager for the Hemophilia Center is responsible for efficiency in daily clinic operations to ensure safety, quality, patient experience, staff engagement and fiscal responsibility. Promotes a culture of inclusion and team building to create a productive workflow within the clinic. Other duties include, but are not limited to:
Maintains operations of daily clinic function, safety and quality for patients/families, providers, and staff. Assures IT operations and equipment are functioning. Maintains direct communication with providers and staff via email, huddles, and weekly clinic and MD-OM meetings. Manages operations of specialty clinics. Creates and manages physician schedules serving as a liaison between multiple business units. Manages staff and patient scheduling to enhance efficiency, patient flow and economic stability, while improving access to care. Creates clinic budgets, monitors, and approves expenses to maintain productivity targets. Uses EPIC and STRATA to assure timely and accurate data entry, appropriate completion of billing and the billing process, and completion of the work queues. Assure compliance with ProMedica Policy, state / federal agencies (HIPAA, ODH, OSHA, CLIA, Joint Commission) and maintain a continuous state of readiness. Manages Hemophilia Foundation requirements by continuous data collection, evaluation, and Action Planning to meet target goals. Manages clinic grants as Project Director assuring guidelines and timelines are followed; assures completion of grant annual review, executed official assurances, IRB approval, estimated budget, expense submission to grant department, and report of expenditures. Maintaining direct communication with the grants department and grant funders. Interviews and hires new staff members. Designs orientation of new staff via EPIC, MyLearning and use of experienced staff. Assures all staff understand new education, system, and clinic updates, and continue to follow policy and procedure. Oversees responsibilities and duties of staff to ensure productivity, efficiency and workflow using the audit process. Ensures employees job description is consistent with the duties performed and holds staff accountable for performance and service, including annual evaluations and the performance improvement process.
Education: Bachelor's Degree in Nursing. Skills: Medical terminology, excellent computer skills, organizational skills. Must have excellent time management skills, ability to multi-task and prioritize work. Attention to detail, problem solving skills, and critical thinking. Must have a strong commitment to customer satisfaction and be able to balance the needs of providers and organizational initiatives. Years of Experience: 3 years' management experience in health care. License: Registered Nurse Certification: N/A
PREFERRED QUALIFICATIONS
Education: Master's Degree in Nursing or Health Care Administration. Skills: Knowledge of billing practices and coding regulations. Years of Experience: 5 years' management experience in health care.
WORKING CONDITIONS
Personal Protective Equipment: Must be able to wear PPE as needed. Physical Demands: Must be able to move about in the clinic and occasionally lift or carry equipment or supplies.
