CTG is currently seeking an experiencedDocument Control Specialistto support our Information Management team inWhiting, Indiana.
Location: Whiting, Indiana (currently a hybrid model – 3 days onsite / 2 days remote – may require 100% onsite for initial training period)
Hours: Flexible start: 6am – 7am with 30 minute lunch
Duration: Ongoing (no 1099 or C2C)
Position Summary
The Document Control Specialist is responsible for the management of Engineering documents, drawings and facilitating the management of departmental documents. The Document Control Specialist focuses primarily on the engineering and departmental documentation, ensuring it is attributed accurately and loaded into the applicable location in the EDMS, Documentum.
Essential Functions / Key Accountabilities
Work closely with engineers and departmental document owners and/or their delegates to control client information
Ability to accurately audit, update and retrieve documents from Documentum
Create virtual links to documents located in Documentum so they can be made easily accessible through other sources
Responsible to follow Information Management Services practices, procedures and guides, including but not limited to attributing, numbering and naming conventions for documents
Provide advanced Microsoft Word and Excel formatting assistance to Documentum users
Assists with the handling of records and documentation, including the preparation of internal and/or external distribution, on/off site archiving, indexing, cross referencing and destruction
Use of high volume scanners to convert paper documents into an electronic format
Able to identify differences between document types and accurately assign appropriate retention codes based on these types
Ability to learn and retain knowledge of Information Management standards and provide detailed training (one-on-one and/or group) on File Plans, document types, attributing, records retention and Documentum usage
Provide excellent internal and external customer service through written communication, phone assistance and/or in person
Flexibility and cooperation regarding the filling-in for coworkers and assistance with heavy workloads
Where required, attend or facilitate meetings; including scheduling in Microsoft Outlook.
Education
Experience
2 years’ minimal experience in Information Management (Document Control) required
2 years’ minimal experience working with engineering document control preferred
Knowledge of engineering documentation including ability to identify unit, equipment and understand drawing disciplines
Required Skills / Competencies
2 years minimal experience in Advanced usage of the following MS products Excel, Word, PowerPoint and Outlook required
Experience with MS Access and SQL (Structured Query Language) preferred
Experience working within an EDMS similar to Documentum and/or Citadon preferred
Understanding of VBA (or similar programming language) preferred
Capable of viewing, creating, editing, and printing electronic file formats including DOC, XLS, PPT, DWG, DGN, PDF, JPG and TIF
Understanding of MS products Access, Visio and SharePoint
Advanced knowledge of Adobe Acrobat Professional
Familiarity with database configuration and schemas
Strong Knowledge of scanners and scanner software (Canon or OCE)
Reliable performance and attendance
Creative thinker: ability to look for ways to do things better, faster, and more efficiently
Ability to understand project requirements and communicate openly and clearly with all members of the team
Ability to cope with stressful situations and multitask as situations arise
Follows Company Policies, Procedures and Regulatory Requirements without Deviation
