A rapidly growing client services organization is looking to bring on an Administrative Assistant to their team to support daily facility operations. Qualified candidates should be highly proficient in MS Office Suite, excellent communication skills & 3+ years of experience in administrative functions.

Responsibilities Include :

  • Greet clients, vendors, recruits, and other visitors in a courteous and professional manner

  • Provide main office phone coverage through WebEx, routing incoming calls to the appropriate team members

  • Perform reception duties in an efficient, professional, and courteous manner

  • Support and coordinate client visits and internal meetings, including scheduling and preparing conference rooms

  • Support Design Group recognition programs

  • Manage incoming and outgoing shipments, coordinating with couriers, FedEx/UPS, and U.S. mail services

  • Order and maintain office supplies and equipment

  • Manage tradeshow booth supplies and backdrops, and coordinate shipping for events

  • Support emergency action plan updates and communications

  • Facilitate the onboarding and offboarding processes for employees

  • Collaboration with project managers and engineering teams

  • 3-5 years of buyer experience, (electrical or compressor industry) preferred

  • Advanced MS Excel (pivot tables, vlookups) 2 - 4 Years

  • Data analysis 2 - 4 Years

  • General contractor construction 2 - 4 Years

Work Site

  • This is a hybrid position requiring some days on-site in Seattle, Washington and some days remote.
